Corporate Services offers a challenging and stimulating variety of work in both delivery and support teams. The function utilises the expertise of eight specialisms that collectively enable the operational day-to-day running of the business to ensure that Defence Equipment and Support (DE&S) delivers its objectives and maintains compliance with the requirements of being part of a Department of State. We cover: Business Support; Comms, Media & Marketing; Infrastructure & Estate Management; Policy Profession; Sales & Disposals; Occupational Health, Safety & Environment; Quality Management; and Security.
You will be working as part of the General Managers team at Defence Munitions Plymouth where you will provide business administrative support to ensure the site operations run smoothly. There are two positions available, see below:
1 x Business Support Administrator – Occupational Safety Health & Environment (OSHE)
1 x Business Support Administrator – Admin Support
Successful candidates will be assigned to the most suitable position based on their skills, qualifications and experience.
DE&S have excellent and progressive opportunity for Business Support Administrators. As a Business Support Administrator, you will be significant to the delivery of administrative support across specialisms as instructed and contained within the Corporate Service Group (CSG) Catalogue of Services and assignment specifications.
Providing pivotal administrative support to the Corporate Services Function, you will regularly interact with stakeholders at all levels across the business, commonly providing support and information as part of a team for those within your defined area. You will be responsible for providing a wide range of essential services and support across all the Specialisms, both at Bristol Abbey Wood and throughout numerous DE&S outstations.
Responsibilities
Your duties will include, but not limited to:
• Deliver administrative support across specialisms as instructed and contained within the CSG Catalogue of Services and assignment specifications.
• Act as a key point of contact for internal and external specialism requests, providing advice and guidance, escalating to more senior colleagues where appropriate.
• Own logistical elements of activities and events such as arranging travel, booking venues or coordinating visits
• Support internal communications such as updating internal websites, distributing key information and acting as a focal point for other internal communications
• Manage document production, processing and maintenance as instructed e.g. any relevant papers for meetings, administration of hard copy classified documents, processing security clearance documents etc.
• Daily communication with line management, staff, visitors, contractors and other external stakeholders.
• Maintenance of various documentation / spreadsheets.
• Participation in site emergency response procedures.
• Assisting Line Manager conduct accident investigations, safety / security inspections, safety / security campaigns.
• Assisting Line Manager with the preparation and circulation of safety / security notices and documentation.
• General office duties including photocopying, shredding, telephone enquiries.
The Business Support Administrator role are predominately office based with some work undertaken across the site in the warehousing, production and transport facilities. Some travel to other DM sites may be required.
What you will be assessed against
To be found successful you must demonstrate the following essential criteria:
• Must be educated to GCSE standard or equivalent. Typically, knowledge will be acquired through more extensive role-specific training / experience.
• A good level of IT (Office, word, outlook), literacy and numeracy skills
• A working knowledge of H&S legislation, including risk assessments (for OSHE role only)
• Team working and supporting/developing others.
• Strong customer service & communication skills with experience of analysing & interpreting information.
It would benefit your application should you be able to demonstrate the following desirable criteria:
• Previous experience in a Health & Safety / Environmental role
• Recognised Health & Safety qualification – Where an OSHE qualification is not held, the completion of the NEBOSH General Certificate or NVQ equivalent must be completed within 12 months of starting.
