Great Parks of Hamilton County is looking for a highly organized and proactive Administrator to support our Conservation & Parks (C&P) division team. This role is perfect for someone who enjoys being the go-to resource behind the scenes—managing invoices for critical utilities, coordinating contracts and training, supporting budgets, and helping keep projects on track across one of Ohio’s most expansive and loved park systems.

*This position is eligible for remote/hybrid work schedule for one day/week.

Responsibilities:
- Coordinates service contracts, bids, contract renewals and requests for proposals (RFPs) for services or goods within the division. Serves as the liaison between division project managers and contract vendors. Reviews RFPs for consistency and compliance purposes, works with staff on scheduling RFP release to align with legal bid timelines and Board meeting schedule.
- Works with the division Chief, Directors, and Managers in preparing annual budgets and monitoring budget and purchase order balances, writes purchase orders and coordinates end-of-year purchase order carryover, runs reports from budgeting and financial software.
- Processes and tracks high-volume invoicing, particularly for critical utilities such as electric, water, gas, and telecommunications; ensures timely payment, accuracy, and alignment with budget allocations. Coordinates closely with Finance and external utility vendors to resolve discrepancies and maintain continuity of service.
- Provides complex administrative and logistical support to the Conservation & Parks leadership team, including meeting scheduling, agenda preparation, travel arrangements, documentation, and internal communications; serves as a central point of contact for cross-divisional coordination.
- Manages the administrative functions of the park district work order system in conjunction with the Planning administrator. Troubleshoots work order problems, assists with outing work orders, runs reports and shares data with appropriate staff.
- Coordinates staff training modules in learning management software for the division, works with staff to build and edit training modules, runs reports and provides staff information on compliance with required training.
- Builds, manages, and/or utilizes digital tracking and analysis systems, such as spreadsheets, geographic information systems (GIS), and databases. Analyzes data and builds graphic representations of data for business purposes.
- Keeps accurate records, maintains digital filing system for the division, assists division staff with building and maintaining administrative, logistical and technological processes to increase effectiveness and efficiency.
- Assists division Chief in maintaining public records retention schedules for division, receives and processes public inquiries in a kind and respectful manner, assists guests, vendors and donors with problem solving over the phone and by email.
- Works with Great Parks Forever to process tree planting requests with appropriate staff as part of the Legacy Tree program. Assists with planning events, scheduling training, and other logistical tasks.
- Maintains a purchasing card issued by the park district, keeps accurate expense records, and submits reports by required deadlines. Assists other staff with purchasing and budget questions.
- Performs job duties in accordance with Great Parks of Hamilton County’s policies, procedures, and performance expectations.
- Maintains confidentiality of confidential and sensitive information.
- Works assigned schedule, exhibits regular and punctual attendance, and works outside of normal schedule as required.
Qualifications:
An appropriate combination of education, training, course work and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities. An example of an acceptable qualification is:
- High school diploma or equivalent required; Associate’s Degree in business, public administration or related field preferred; 1-3 years of administrative work experience required.
- Ability to document identity and employment eligibility within three (3) days of original appointment as a condition of employment in compliance with Immigration Reform and Control Act requirements.
LICENSE OR CERTIFICATION REQUIREMENTS
- State Motor Vehicle Operator’s License that meets GPHC current carrier guidelines
