Full-Time Benefits Analyst

ABOUT THE OPPORTUNITY

The Benefits Analyst ensures accurate administration of Internews’ benefit programs which include, but are not limited to, health, wellness, tax advantaged accounts, life and disability, retirement, leaves, perks and recognition, and security for corporate employees and consultants. Responsible for a very complex set of benefits packages serving both US domestic and international post locations in a high-touch environment with steady project based turnover, the Benefits Analyst will manage these complications and meet the needs of the staff members and internal deadlines. Internews uses an ERP with limited HRIS functionality and does not utilize third party administrators for benefits enrollment or leave management support, relying on the expertise of the Benefits Analyst to ensure the completion of timely and efficient manual processes related to employee experience and compliance requirements. With a proven ability to maintain confidential information and a professional support-based attitude the Benefits Analyst will also provide general HR project support to the senior HR, People & Culture management team in a high paced and significantly complex environment.

LOGISTICS

Due to the COVID-19 pandemic, Internews’ headquarters and global offices are closed or partially remote, and Internews staff are working remotely until at least 1 July 2021. Until further notice, this position will also function remotely. Ultimately, this position may be fully remote, partially remote, or fully in-office from our Arcata, California office. Candidates seeking a partially remote or office-based position should feel free to express this preference.

Remote candidates from anywhere in the US will be considered; however, preference will be given to those in the Pacific (GMT -7/-8) through Central (GMT -5/-6) time zones. This position is not eligible for relocation assistance. Additionally, you must have work authorization in your location that does not require sponsorship from Internews.

DAY-TO-DAY TASKS

In all duties Internewsers must embody an understanding of, and demonstrated commitment to, upholding Internews’ Core Values. Includes the following, with other duties upon request:

Communications and Education

  • Answers staff questions and provides guidance and education on over four distinct benefits packages: over 25 third party vendor programs and over 10 internal programs.
  • Provides detailed confirmations of benefit package enrollment for new hires and qualifying event changes. Assists staff with accessing resources and services and navigating third party vendor websites.
  • Updates benefits materials, including forms and presentations, and coordinates regular distribution including facilitation of annual open enrollment meetings and regular outreach.
  • Drafts individual, mail merged, and widely distributed messages with sensitivity, clarity, and professionalism.

Benefits Administration

  • Serves as a primary point of contact for all benefits vendors, brokers, and staff, resolving service and claims issues, and ensuring a positive employee experience.
  • Manages annual employee processes such as open enrollment, training cycles, employment recognition, and life event program, working with external vendors and acting as a resource for internal departments and staff.
  • Coordinates complete employee enrollment process during hire and qualifying event changes, including reviewing and approving PDF enrollment forms and documentation, monitoring data entry completed by HR Associate, and confirming finished enrollments with employee.
  • Manages manual and in-house HR approved leave and accommodation processes including required communication timelines, documentation, discussions with employee and/or supervisor, and request approval or denial. Reviews and approves related timesheets.
  • Regularly verifies, audits, and reconciles benefits related third party vendor invoices, credits, and checks, maintaining historical data on premiums, claims, and costs. Works with accounting to submit invoices for payment and resolve discrepancies.
  • Develops and maintains all benefits programs within ERP/HRIS systems and works closely with payroll on benefits changes, implementation of benefits related taxes, funding, and corrections as needed.
  • Acts as a Secretary on the Fiduciary committee.
  • Manages annual benefits administration processes such as ACA and Medicare notices and reporting, 401k audits, and supports the renewals of employee benefit and corporate insurance policies. Makes recommendations for plan enhancements.
  • Manages a calendar of manual recurring benefits related administration compliance processes on a weekly, monthly, and annual basis including but not limited to billing and funding, mandated reporting and notices, and internal and external audits.

General HRPC Team Support

  • Manages staff relocation requests, coordinating with internal partners to evaluate approval or denial based on right to work and location risks.
  • Manages compensations and benefits benchmarking processes.
  • Supports total compensation planning and reporting processes.
  • Manages the office Safety Committee, maintaining required OSHA records and filings coordinated between two headquarters offices.
  • Supporting members of the department with departmental tasks and projects as requested, including responding to surveys and conducting research, and filing compliance reports such as EEO-1.

QUALIFICATIONS WE’RE LOOKING FOR

  • 5+ years benefits administration experience, with increased responsibility, required. International benefits experience strongly preferred.
  • 2+ years leave of absence and/or ADA accommodation experience required.
  • 2+ years generalist human resources experience strongly preferred. International HR experience given priority.
  • University degree or equivalent professional experience preferred.
  • Proven ability handling confidential and/or sensitive information.
  • Forward thinking, able to pre-meditate issues, using critical thinking skills and job ownership to proactively solve problems required. Must be able to take minimal direction and work independently to complete tasks under deadline, and know when to escalate issues.
  • Ability to juggle multiple conversations, processes, and deadlines in a single day, while keeping the organizational policies and legal requirements that apply to each individual in focus required.
  • Strong professional communication in formal and informal, and written and verbal, platforms required.
  • Strong interpersonal skills, with the ability to navigate  challenging circumstances while maintaining positive and professional relationships with teammates and staff members required.
  • Experience working in collaborative team environment required, and experience working remotely strongly preferred.
  • Ability to navigate and perform data entry in multiple data systems quickly and efficiently is required, and ERP, HRIS, TM, and ATS database experience is strongly preferred.
  • Experience with web-authoring, SharePoint Intranet, and/or page layout software preferred.
  • Strong grasp of Microsoft Windows environment, particularly Excel and PowerPoint are required.
  • Must be organized, logical, and detail oriented.
