Job Description
POSITION: Associate Librarian
REPORTS TO: Senior Director of Music Administration
STATUS: Full-time, non-exempt

DUTIES AND RESPONSIBILITIES:
• Demonstrate leadership in accordance with Lyric’s mission and vision.
• Serve as the chorus, music staff, and production staff librarian as follows:
o Coordinate with the Chorus Master for season needs.
o Coordinate with the Chorus Master and production staff to create score masters specific to their request and per contractual deadlines, this includes scores for gala performances and special events.
o Print or oversee printing of scores if outsourced, this includes scores for gala performances and special events.
o Distribute scores to chorus and track returns, including choir folders if needed.
o Maintain storage of chorus scores as needed and in collaboration with stage crew.
o Maintain database of production scores in the orchestra pit annex (Crow’s Nest). Distribute as needed.
o Provide detailed information about season full and piano vocal scores to the music staff.
o Prepare assistant conductor scores. This includes proofreading, editing, binding, repairing, and copying music as necessary.
o Primary library contact for communication with music staff.
• Serve as the primary librarian for The Patrick G. and Shirley W. Ryan Opera Center (ROC) and Lyric Unlimited (LU) projects including Opera in the Neighborhoods, chamber opera projects, and special ROC concerts and galas. This includes but is not limited to:
o Preparing performance set of parts (page turn fixes, legibility corrections, bowings, etc.)
o Preparing piano/vocal scores as needed.
o Preparing and distributing practice copy materials for players.
o Managing and executing player requests during the rehearsal process (page turn fixes, enlarging, cut fixes, etc.) in a timely manner.
o Attending rehearsals onsite and offsite as requested.
o Liaising with conductors and directors to determine musical cuts and preferences.
o Librarian duty for dress rehearsal and performances (setting out pit parts, preset maestro score, collecting music).
• Library Maintenance and Other Administration
o Coordinate music rental/purchase agreements and royalties for ROC and LU performances and concerts. Manage the receipt and return of music ensuring that correct materials arrive in a timely manner.
o Track and manage the library’s circulation through Surpass Library Management Software. This includes logging new scores and maintaining circulating database, creating and distributing reminders and overdue notices regularly, assisting patrons with score checkout kiosk, repairing scores as necessary, and serving as a resource for holding questions.
o Report all Lyric events to ASCAP and BMI.
o Assist Principal Librarian with part preparation as time allows.
o Maintain supplies and machinery including, but not limited to, requesting service, ordering supplies, maintaining vendor list for payroll.
o Create and track invoices from the library.
o Liaise with the Development department regarding library donations.
o Coordinate with the Senior Director of Music Administration and Principal Librarian to prepare, update, and distribute library policies to Lyric Opera of Chicago personnel.
o Consult with Senior Director of Music Administration to determine hiring temporary staff/interns for library assistance, particularly for non-mainstage work and/or season close and season prep.
o Update insurance estimate and disaster plan.
• Other duties as assigned. As the business evolves, so may this role. Specific duties may change as Lyric’s leadership identifies the need at any time.
KNOWLEDGE AND SKILLS:
• Bachelor’s Degree in Music or equivalent training; Master’s Degree a plus.
• Three years of experience as an orchestra librarian preferred.
• Orchestral music background required.
• Knowledge of opera performance preferred.
• Familiarity with orchestra music and parts, instrumentation, ranges, transpositions, and standard orchestral foreign language terms.
• Ability to read music with knowledge of music theory.
• Outstanding interpersonal skills including the ability to interact with all staff in a professional, confidential, timely, and tactful manner.
• Meticulous attention to detail.
• Capable of producing excellent handwritten music notation.
• Working knowledge of U.S. copyright law.
• Ability to work independently, prioritize tasks, and take initiative. Must also be able to work as part of a team.
• Knowledge of Microsoft Office applications including Excel and Access.
• Knowledge of Surpass Library Management Software a plus.
• Ability to communicate clearly, effectively, and professionally, both orally and in writing.
• Ability to adapt and be flexible in a rapidly changing environment.

• Ability to operate a computer keyboard, mouse, and to handle other office equipment.
• Ability to lift 25 pounds regularly.
