Full-Time Assistant Director for Donor Relations

Job Description

UW Medicine Advancement has an outstanding opportunity for an Assistant Director for Donor Relations.

POSITION PURPOSE

Nearly 28,000 caring professionals come together each day at UW Medicine with a singular mission: to improve the health of the public. UW Medicine encompasses a top-rated medical school, an internationally recognized research center and a renowned health system that includes Harborview Medical Center, UW Medical Center – Montlake, UW Medical Center – Northwest, Valley Medical Center, UW Neighborhood Clinics, UW Physicians, UW School of Medicine and Airlift Northwest. In the 2021 fiscal year, UW Medicine Advancement raised $377 million in gifts and private grants (52 percent of the University of Washington’s total) from over 18,000 donors to support the mission of UW Medicine. The University of Washington completed a 10-year, multi-billion-dollar campaign in 2020, during which UW Medicine raised over $2.5 billion.

The Donor Relations program is comprised of donor stewardship and recognition, which includes cultivating and stewarding long-term relationships with annual and major donors, gift acknowledgment and donor recognition. The Donor Relations team responsibilities include, but are not limited to, oversight across annual donor stewardship, lifetime giving programs, Corporate and Foundation Relations, gift acceptance, individualized stewardship programs and all major gift fundraising priorities and UW Medicine’s Compass program. Some high-level examples include:

  • Develop and implement strategies and opportunities for proactive, high-touch stewardship engagement, targeting major gift donors and prospects.
  • Initiate and implement individual stewardship plans in support major gift fundraising.
  • Lead in the execution of stewardship reporting, including collaboration with UW Medicine and University stakeholders to accomplish one-to-many stewardship reports, yearly endowment reporting, highly individualized milestone and cross-University reporting.

The Assistant Director for Donor Relations (“Associate Director”) provides core operational support to UW Medicine’s fundraising operations and is responsible for strategic projects that support the entire team and identifying and implementing process improvements and enhancements for Donor Relations priorities. The Assistant Director reports to the Director for Donor Relations.

RESPONSIBILITIES

Stewardship Project Management and Implementation (60%)

  • Help create and maintain stewardship data infrastructure and systems to support and implement stewardship strategies across donor and prospective donor pools.
  • Manage oversight of all UW Medicine endowments, including tracking newly established endowments, quarterly investment process, and collaborating with team members on stewardship and faculty appointments.
  • Manage art and other in-kind donations acceptance process.
  • Manage Individualized Stewardship Plans (ISPs) and task tracking systems in collaboration with the team.
  • Manage transition of UW Medicine stewardship programs to new University Advancement CRM.
  • Manage donor pledge tracking and fulfillment.
  • Maintain and update Donor Relations process documentation.

Finance and Administration (25%)

  • In collaboration with the Director for Donor Relations, work with the Dean of the School of Medicine’s office of finance and administration, and School of Medicine departments and divisions, programs and institutes, and hospital entities to ensure compliance with donor gift intent.
  • Liaise with department and program administrators and other fiscal partners to address gift fund issues.
  • Provide DR team and front-line fundraisers information on gift budget balances and audit unspent funds.
  • Onboard new School of Medicine administrators.

Other Donor Relations and Administrative Activities (15%)

  • Partner with the Associate Director for Donor Relations and the Assistant Director for Member Benefits and Recognition on individual staffing of front-line fundraising teams to provide donor stewardship and recognition.
  • Participate on University and UW Medicine related committees and ensure compliance with University procedures and policies.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS

 

  • Bachelor’s degree and a minimum of three years of professional experience in an office setting, preferably in fundraising and project management.
  • Demonstrated project management ability, efficiency, and strong attention to detail.
  • Demonstrated ability to work on a team: mindfulness of deadlines, respect for varying skillsets, ability to juggle priorities, and willingness to do a variety of tasks, including administrative ones.
  • Demonstrated ability to use discretion and protect confidential information; acts in a selfless manner and models the ethical values of the UW.
  • Experience working with a variety of stakeholders including faculty, donors, senior leadership, and other colleagues.
  • Strong interpersonal skills and customer service orientation. Poised, professional manner and the ability to communicate clearly, directly and empathetically in all interactions: verbal and written communications, one-on-one conversations and in groups, etc.
  • Ability to make decisions in ambiguous situations, exercise good judgment based on information and analysis in a fast-paced, dynamic, deadline-driven environment in an organized and professional manner.

  • Equivalent education/experience may substitute for stated requirements.

PREFERRED QUALIFICATIONS

  • Experience with Access and or CRMs
  • Familiarity with fundraising principles and experience in a higher education or academic medical setting.
