Full-Time Assistant Camp Director

Job Description

The Assistant Camp Director is an integral part of our Camp Leadership Team and will be essential in serving Hidden Villa’s mission while assisting in the implementation of a quality and safe summer program. The Assistant Camp Director will be in charge of keeping track of registration information, camp payments, camp rosters, and will be in constant communication with families about all things camp related alongside the Camp Director. This person will also take an active role in staff hiring & recruitment, planning camp staff training in collaboration with other supervisors, support the overall operation of the summer program, and model a high level of professionalism for the seasonal staff.

Key Responsibilities

General

  • Function as part of the leadership team to implement all Summer Camp operations.
  • Collaborate across all organizational departments to ensure the Hidden Villa Mission is being met and Summer Camp is successful and relevant for the communities in the Bay Area.
  • Promote an atmosphere for developing good morale and well-being among camp.

Registration and Customer Relations

  • Build and manage all aspects of camp registration using Ultra Camp software. Communicate with families about the registration process ensuring that all necessary forms are in place before a child starts camp, including up to date physicals, immunization records and registration packets.
  • Notify parents/ guardians of campers about session dates and any program updates.
  • Manage the application and administration of scholarship funds to camper families to ensure equitable access.
  • In coordination with the Communications Department and Summer Camp Director, plan, design and deliver outreach and marketing materials for the Summer Camp Programs.

Staff Management and Supervision

  • Implement strategies to recruit, hire, and onboard diverse and skilled candidates for summer positions
  • Manage staff personnel files ensuring they are up to date and all certifications are valid.
  • Assist with orientation, training, and mentorship of summer camp staff. Serve as a model for best practices, offer coaching and guidance, assisting with planning and delivering professional and leadership development training, and contributing to both formal and informal program and performance evaluation.
  • Act as a key player in problem solving staff issues, discipline and parental concerns.
  • Build rapport and provide leadership to seasonal staff including regular check in’s.

Risk Mitigation and Systems Maintenance

  • Work in tandem with the health coordinator and Summer Camp Director to ensure all health and safety protocols align with ACA and local health code standards.
  • Review, update and create risk mitigation policy for general emergency action plans and key specialty areas.
  • Manage incident and accident report protocol and documentation procedures.
  • Monitor safety and ensure adherence of policies as they pertain to the supervision of campers and staff.
  • Respond in a leadership role during emergency situations.
  • Perform on-call, overnight duties during the Summer Camp season, including living on-site

Candidate Qualifications

REQUIRED QUALIFICATIONS:

  • Minimum of 2 years of Summer Camp leadership experience preferred. Should include experience in youth program development and implementation, summer camp operation, staff supervision; work with youth, teens, families and parent relations.
  • Must be computer literate with a proficiency in MS Office, G-Suite and database applications.
  • Healthy communication skills, written and verbal.
  • Experience with risk mitigation and providing leadership in emergency situations
  • A self-starter who is able to work independently and pay attention to detail under pressure and shifting priorities.
  • Ability to maintain confidentiality in matters of sensitivity
  • Ability to develop and teach workshops
  • Ability to coach and give feedback to a diverse staff and age range of campers
  • CPR and First Aid Certification, or willing to obtain
  • Must possess a valid driver’s license and clean driving record
  • At least 25 years of age

PREFERRED QUALIFICATIONS:

  • Strong commitment to social justice
  • Working knowledge of Ultra Camp Management Software
  • Experience in Specialty program Areas such as Pool and/or Challenge Course Operations or willingness to learn
  • Spanish language fluency strongly preferred, not required

Terms of Employment

This is an exempt position scheduled to start January 21, 2026. The compensation package includes an annual salary of $71,000/year and a benefits package that includes paid time-off, sick leave, health insurance and retirement benefits. Year-round, exempt summer staff are also entitled to 2 weeks (10 working days) off after the conclusion of summer camp conclusion of summer camp (time-off to be taken by October 15) in addition to regularly accrued time-off, to be coordinated with their supervisor. The Assistant Camp Director is expected to live onsite throughout the summer months in year-round, private housing.  The Assistant Summer Camp Director is required to be on-call and onsite while campers are onsite during the Summer Camp season.
