Full-Time Admissions Specialist-Events Planner

Job Summary

The Admissions office is looking for an Admissions Specialist to join their team.  This position will primarily plan and coordinate group visits and on campus events through the Admissions office as well as oversee the student ambassador program. Additionally, this position assists the Admissions office in daily communication, phone, email, walk-ins, and scheduling requests. The Admissions Specialist will recruit, and enroll prospective students to the college through a variety of methods including individual visits, high school visits, college fairs, groups visits and events.

Hawkeye Community College has more than 50 career and technical programs and liberal arts transfer programs.

 

Essential Job Functions

Important responsibilities and duties may include, but are not limited to, the following:

  • Coordinates, plans and implements on campus and virtual recruitment visits and events (i.e. Experience Hawkeye Visit days, High School group visits, career exploration and diversity events).
  • Recruits, hires, trains, schedules and assigns tasks to student ambassadors (Admissions student workers).
  • Purchases, tracks and updates Admissions inventory.
  • Creates and maintains event tasks and timelines to assure all details are handled for visits and events.
  • Creates, sends and coordinates event communications and registrations.
  • Recruits and advises prospective students via college fairs, visits to assigned high schools, and individual appointments.
  • Provides accurate information to prospective and current students, parents, and the general public on Hawkeye Community College’s programs, degrees, application processes, financial aid information, and student referrals.
  • Performs other related professional duties as assigned.

 

Minimum Qualifications

  • Associates degree and experience in sales, public speaking, public relations, marketing, communications, social sciences, business, education or related degree.
  • Demonstrated 1-year experience in planning and/or facilitating events and/or group meetings/visits.
  • Demonstrated ability to work with and provide customer service for diverse populations (faculty, staff, students, and general public.
  • Demonstrated excellent written and verbal communication skills to positively interact with students, faculty, staff and general public.
  • Demonstrated strong presentation skills.
  • Demonstrated ability to work on multiple tasks and to work independently.
  • Demonstrated ability to understand and follow complex oral and written directions.
  • Demonstrated ability to complete multiple tasks with frequent interruptions and high volume of work with deadlines.
  • Demonstrated strong computer skills including a proficiency in Microsoft Office and Google Suite programs.
  • Demonstrated ability to handle confidential/sensitive information with discretion.
  • A demonstrated commitment to diversity, equity, and inclusion through inclusive behaviors and helping contribute to a culture of inclusivity, and vibrant, diverse, equitable and inclusive learning and working environment.
  • Demonstrated ability to work flexible schedule to include, on occasion, evening and weekends.
  • Valid driver’s license, insurable.

 

Preferred Qualifications

  • Bachelor’s degree
  • Ellucian experience.
  • Experience with a Customer Relationship Management (CRM) system.
  • Customer service or sales experience.
  • Experience in post-secondary education.
  • Experience in Admissions.

 

Employment Status

Full time, hourly position with comprehensive benefits program including health, dental, vision, life, and LTD insurance, a Section 125 plan for medical and dependent care expenses; holiday, personal, sick, and vacation leave; tuition reimbursement; and a choice of retirement programs—IPERS (defined benefit) or TIAA (defined contribution).

Working Conditions

Requires skills for succeeding in an office environment, using technology. Requires good hand-eye coordination including visual acuity to use a keyboard and read technical information; arm, hand and finger dexterity, including ability to grasp. Work is performed in an office setting. Sit, stand, bend, lift and move intermittently during working hours. During course of day, interact with students, faculty and staff in person, by telephone and computer.
