The Communications Office is a small, collaborative team responsible for all communications, sales, marketing and customer service tasks organization-wide. Staffers are responsible for increasing course participation across all target audiences and ensuring excellent customer service communication to prospective students and families, to families of students currently on course, to alumni and partners.
Currently, 85% of our organizational staff are local Costa Rican ranging from director, instructor, to support staff-level roles. JOB DESCRIPTION
The Admissions & Enrollment Manager plays a crucial role in the Communications Office and is responsible for successfully selling Outward Bound Costa Rica and its programs to local and international participants. This managerial role operates through maintaining a structured enrollment process, continuing relationships with and cultivating new referral sources, counseling students and their parents in choosing the right course, leading students from inquiry to enrollment, maintaining accurate admissions, reviewing medical records, obtaining essential documents (passport copies, flight itineraries, etc), processing payments, and ensuring that students arrive/depart safely to/from our base.
This role focuses extensively on external communication and essential administrative duties. There is a structure and exact process from inquiry to enrollment. Candidates must be able to retain organization processes and have an extreme attention to detail through this admin work. Candidates must have excellent written and verbal English skills, be conversant in Spanish, and proven success in sales, data entry and administrative tasks.
The Admissions & Enrollment Manager reports directly to the Director of Marketing & Communications. Hours are 9am to 5pm with compensated on-call weekends during high season from June to August and limited travel. This position requires relocating to Costa Rica and living at our OBCR Rainforest Base in Calle Pizote, San Ramon de Tres Rios, Costa Rica. The role is open to international applicants!
RESPONSIBILITIES
• Serve as the point person for all inquiry, screening, enrollment, preparation, and on course communication with students and parents for all open enrollment courses
• Respond accurately and timely to all student/parent inquiries
• Answer and make frequent phone calls for outreach and follow-up purposes to interested participants
• Manage all administrative tasks associated with enrollment—including but not limited to medical screening, passport copies, flight itineraries, payments, refunds, and financial reporting to our Accountant
• Ensure all participants and parents are properly informed about what they can expect from an OBCR course and convey the course policies including payment instructions, academic credit information, and the Code of Conduct
• Serve as liaison between students, their families and OBCR
• Manage and maintain the student enrollment database and all enrollment documents per each recruitment cycle
• Distribute logistics information regarding arrival and departure information of participants to other staff members
• Distribute and brief important student information to course instructors and the Director of Programming
• Administer course evaluations to students and prepare accurate performance reports to drive the improvement of future courses
• Assisting with other outreach efforts and administrative tasks when required
IDEAL CANDIDATE PROFILE
• Superb attention to detail and administrative skills
• Strong desire to live abroad long-term
• Direct experience in customer service and sales
• Extremely comfortable with speaking with clients over the phone
• Experience in managing one or more interns
• Superior communication skills (Excellent written and verbal English, conversant in Spanish)
• Experience with Salesforce, Microsoft Word, Excel highly desired
• Fluency with Apple computer systems desired
• Ability to multi-task and stay focused despite regular interruption
• Strong time management skills
• At least one year living, working or studying outside of home country
• Demonstrated cultural sensitivity
• Conversant in Spanish
• Positive attitude and good work ethic
• Sense of humor
• Tenacity and flexibility
• Comfort in living in a more rustic and tropical environment compared to the United States, EU, or other (the rainforest base is at elevation in the Central Valley—so temps range between cold 50s at night to 70s during the day)
• Personal interest in the outdoors, experiential education, and the mission of Outward Bound Costa Rica
• Willingness and ability to live and work in a shared house with max 4 other staff members
COMPENSATION PACKAGE
• Monthly salary of $850 plus annual bonus
• Travel insurance coverage, preventative medical stipend, and additional incidental coverage through INS (the local insurance provider of Outward Bound Costa Rica)
• 30 days paid vacation plus 4 days throughout each year for visa renewal, comp days issued for any overtime work (primarily during our June to August high season)
• Plane ticket to and from Costa Rica
• Private bedroom in a furnished 5-bedroom, 2-bathroom shared house on the OBCR main base located east of San Jose in the rainforest mountains of San Ramon de Tres Rios
• All utilities included (water, electricity, and wireless internet)
• Access to Outward Bound Costa Rica courses and equipment for personal use when available
• Use of Manuel Antonio beach base when approved by the Program Director and Director of Communications
