Role Overview

We are looking for a highly detail-oriented and self-driven Administrative Coordinator to own the technical setup and backend execution of our online voice transition programs and grow into broader administrative responsibilities for Undead Voice. This role requires exceptional attention to detailstrong technical skills, and the ability to work independently while managing multiple platforms and tasks efficiently.

In addition to technical execution, this role requires excellent communication skills. You will be directly engaging with our community members and partner organizations, ensuring smooth operations and clear, professional interactions.

This position starts at 20 hours per week as a 1099 contractor, with the potential to grow in hours as the company expands.

Key Responsibilities

TECHNICAL SETUP + PROGRAM EXECUTION

✓ Own the technical backend setup for our online voice transition programs, ensuring 100% accuracy in configurations across platforms like Kajabi, Squarespace, Flodesk, Notion, Canva and Zapier.

✓ Set up registrations, automations, event scheduling, and email sequences to ensure seamless program execution.

✓ Track key milestones and ensure all program components are completed on time.

✓ Identify and proactively fix technical or process issues before they impact participants.

ADMIN + PROJECT MANAGEMENT

✓ Manage and maintain standard operating procedures (SOPs) for program execution and general admin workflows.

✓ Use Notion to track tasks, deadlines, and workflow efficiency.

✓ Coordinate with the team to ensure all aspects of operations run smoothly.


COMMUNITY + PARTNER COMMUNICATION:

✓ Monitor registrations, inquiries, and tech support issues related to Jumpstart and other programs.

✓ Communicate professionally with participants, partner organizations, and internal teams to ensure smooth coordination.

✓ Maintain clear, professional, and friendly communication across email, platform messages, and other correspondence.

You have experience in authentic and open relationship-building with queer and trans people, BIPOC individuals, and community allies.

Self-driven & proactive – You don’t wait for instructions; you find and fix problems independently.

Strong tech skills – You are comfortable learning and troubleshooting platforms like Kajabi, Squarespace, Flodesk, Notion, Canva and Zapier.

Excellent written communication – You write clear, professional, and effective emails and messages.

Organized & deadline-focused – You track everything and keep projects moving without reminders.

Problem-solver – You anticipate issues before they arise and find solutions quickly.

Requirements

✓ Experience working with platforms like Kajabi, Squarespace, Flodesk, Notion, Canva, and Zapier. Previous experience and/or familiarity and ability to quickly learn these softwares or platforms is essential. 

✓ Strong organizational and project management skills – Experience using Notion for tracking tasks and workflows is a HUGE PLUS.

✓ Ability to work independently and manage multiple priorities at once.

Reliable internet connection and own computer setup.

Bonus: Experience in customer service, community management, or education program administration.
