Job Description
Schedule: Monday – Friday (8:00am – 4:30pm)

SUMMARY
The Administrative Assistant, Willow Tree Inn will function as part of a multi-disciplinary team, and provide administrative support to staff in order to assist with daily operations of the site. The selected candidate will report to the Director, Willow Tree Inn, but will also function as a member of the agency’s larger administrative team and will receive direction, on occasion, from Management staff regarding other duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist with the answering and routing of calls regarding client issues, staff needs, and donor requests if applicable
- Greet and assist individuals who enter building lobby area and direct then appropriately
- Help to direct clients when necessary
- Manage the calendar for appointments, van use, and office space/conference room use
- Mail packages using UPS, Fed-Ex, or USPS
- Pick up checks and equipment from Arlington Administrative office on a weekly bases or more frequently if directed.
- Receive, sort, and distribute daily mail for both staff and clients
- Assist with intake paperwork and creation of client charts
- Coordinate deliveries and facilities requests
- Manage sign in sheet for all individuals coming on site
- Order office supplies and manage supply inventory
- Keep copier area stocked with paper and clean
- Proofread written communication and documents when directed
- Assist Director with managing data pertaining to outcomes
- Assist in the preparation of power point, excel and other documents
- Collect and input monthly stats
- Enter information into our HMIS and CHAMP data bases when directed
- Communicate effectively, and in a timely manner, with management, co-workers, and clients
- Maintain client confidentiality at all times, while following agency, state, and HIPAA laws
QUALIFICATIONS
- High School diploma or GED and at least two years’ Administrative/Office experience
- Detail oriented with excellent time management, organizational, written, verbal, and computer skills, with exceptional phone etiquette
- Computer literacy, including knowledge of Microsoft Word, Outlook and Excel
- Knowledge of office management systems and procedures
- Demonstrated passion for the underserved community
- Bilingual English and Spanish preferred
