Full-Time Administrative Assistant / Accounts Payable

Job Description

We are looking for a dedicated, detail oriented person to join our growing team to provide support for our finance department with accounts payables, as well as administrative support for our asset management and trading teams.

Responsibilities:

  • Assist with Accounts Payable (AP) activities including:
    • Internal Cash monitoring to ensure appropriate balances within risk limits and daily reporting of accounts to management team and German counterparts
    • Monitor and review cash activity for returned wires and unusual transactions.
    • Managing invoice processing (ensure authorization, review, and stamp invoices)
    • Prepare the weekly bills register for approvals and upload into banking system.
    • Management of ad-hocs bills, paid directly or online.
    • Vendor management – Contract management, relationship management Year tax reporting
  • Managing the AP email inbox and respond timely to vendor inquires and related invoice questions.
  • Provide support as needed for internal & external meetings
  • Assist the trading team with scheduling, set- up all meeting logistics, coordinate conference rooms, submit expenses, coordinate travel, order catering and manage any other ad hoc tasks that may arise
  • Work in partnership with Research and Sales Department assistants in the US and European offices

Qualifications:

  • Bachelor’s Degree
  • 1-3 years of experience in a corporate setting
  • 1-2 years of bookkeeping / Accounts Payable experience a plus
  • Proficient with MS Office suite – Intermediate to advanced MS Excel skills.
  • Prior experience providing administrative support and/or travel coordination
  • Highly organized with strong communication and time management skills
  • Proficient with MS Office suite; including Outlook and outlook calendars
  • Ability to work well in a fast-paced environment; multi-tasking and a pro-active approach
  • Works well with people at all levels
  • Experience with Concur travel & expenses a plus
  • Hours: 7:30am – 4:30pm
