Full-Time Administrative Assistant

The Assistant to the Vice President for Regional Conservation provides administrative support, coordinating the Vice President’s engagement with regional offices, and teams across the organization; manages information flow and coordinates the development of various correspondence, documents and reports; and collaborates closely with leaders across the organization in support of the implementation of the Federation’s 2018-2021 strategic plan (“A Common Agenda for Wildlife”).

In this role you will:

Ensure that the day-to-day operation of the Vice President’s office runs smoothly and efficiently, promptly replying to all constituents and colleagues, and attending to deliverables in a timely manner;
Work directly with the Vice President and other senior staff in coordinating all activities in support of the implementation of the strategic plan including presentation development, coordinating external meetings, supporting regional and national meetings;
Assist the Vice President in drafting correspondence, documents and reports; maintains records; and updates various management and reporting tools;
Coordinate the Vice President’s calendar; initiate and respond to meeting requests; develop agendas and other meeting materials as needed; plan and implement meeting logistics; make necessary travel arrangements; and process the Vice President’s expense reimbursements;
Manage all administrative and logistical aspects of board-level and other ad hoc committees that are staffed by the Vice President;
Manage all administrative and logistical aspects of NWF’s regional leadership team, including scheduling meetings, assisting with time cards, and expense reports;
Organize all department wide retreats, as well as team building and professional development activities; and
Perform other duties as assigned.
Qualifications:

College degree required
3+ years of experience preferred, ideally in a nonprofit setting or fast-paced office environment
Passion for the conservation of wildlife and wild places is highly desirable
Familiarity with conservation a plus
Self-starting, with the demonstrated ability to work independently and, when necessary, as an integral member of the team
Professionalism, with superior interpersonal abilities, communications and political savvy, and excellent time management and organization skills
Proficiency in Microsoft Office Suite and familiarity with CRM and other fundraising software, various databases and management reporting tools
