Job Description
- Perform office administration tasks to support our administrative, program, and technical operations.
- Lead project administration activities related to Hicams data entry, certified payrolls, records review, IPad management, technician training, SharePoint entry, and TIM’s entry.
- Create and send emails to Contract and Department staff.
- Review final estimate assemblies, ticket books, and pay record books for conformance with accepted standards and the Construction Manual and check certified payrolls against project diaries and wage interviews.
- Notify engineering staff of discrepancies, sets up project files, and record meeting minutes.
- Serve as project traffic notice coordinator providing TIMS entry and public notice announcements.
- Review and schedule classes and assessments with Materials and Tests Unit.
- Order equipment for project inspection, sampling, and testing.
- Manage records, reports, and filing, public contact.
- Answer calls and direct them to appropriate staff.
- Serve as a backup receptionist for Division phones during lunch or when needed.
- Process and approve time entry/payroll, process invoices, and maintain purchase order contracts and accounts payable using our SAP system.
- Create requisitions, travel expense vouchers, HiCams entries, and TIMS entries.
- Perform HR duties including learning policies and procedures, processing actions for our hiring process, Family Medical Leave Acts, retirements, and separations.
- Assist our District staff with investigations and preparation of road additions/abandonments, driveway permits, house moves, site plans, and encroachment agreements.
- Ensure training compliance for our District office by maintaining staff records and certifications.
- Process certified payroll for contracts including collecting, reviewing, scanning, and filing.
- Prepare correspondence, perform filing, and handle incoming/outgoing mail.
- Scan correspondence, submittals, meeting minutes, densities, ticket books, supplemental agreements, claims and other project related documents into our SharePoint site.
- Maintain knowledge of current project workload and daily activities of our District Engineer’s office.
- Excellent customer service skills (phone, in person, digital) solving customer issues.
- Knowledge of general office procedures, operation of office equipment.
- Computer skills using the Internet, Microsoft Office (Word, Excel, Access, Outlook), online databases (e.g., Beacon, NeoGov, Service Now, HiCams, SAP, and DocuSign).
- Excellent verbal and written communication skills to engage digitally, verbally, and use correct grammar and spelling to compose, update, and proofread correspondence forms, letters and reports.
- Ability to effectively communicate technical knowledge with Engineers, coworkers, and the public.
- Good time management skills to schedule and coordinate appointments, meetings, and conferences.
- Experience completing and/or maintaining records and reports, interpreting/explaining policies, procedures, and laws, and with letter writing, using correct spelling, punctuation, and proofreading.
- Good communication skills are required in both verbal and written activities.
- General math skills and significant vocabulary/grammar skills for proofreading correspondence, reports and other documents.
- Excellent composition skills, attention to detail, and great attention to detail with data entry and correspondence.
- Ability to work in an inside environment including being exposed to significant sitting for long periods of time.
- Strength to lift 25 pounds.
- Ability to operate a motor vehicle.
- Candidates with a Driver’s License.
- High school/GED diploma, and
- 2+ years of related administrative experience; or
- An equivalent combination of education and experience.
