Reports: Executive Director

Job Summary:

The Account Receivables Clerk will be responsible for providing financial, administrative and clerical services, including ensuring accurate processing and monitoring of incoming payments, and securing revenue by verifying receipts. They will be part of a growing administrative team working under the supervision of the Executive Director.

The demand for our services continues to grow year over year. La Raza CRC has doubled in size in less than 3 years. We are in a strong financial position with a sound financial history. The accounts receivable clerk will be supported by our Chief of Staff. We have also been using an external accounting services firm for nearly 1 year and can offer flexibility from on-site full-time with 1-2 days working remotely after successful completion of the 90-day probationary period. We are also considering this role to be executed as a part time role.

Duties and Responsibilities:

  • Process accounts and incoming payments in compliance with financial policies and procedures.
  • Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data.
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Prepare bills, invoices, and bank deposits.
  • Submit city grant invoices to the Executive director for final approval and signature, and send to grant managers.
  • Maintains and updates grant files, including name or address changes, mergers or mailing attentions.
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Verify discrepancies by and resolve clients’ billing issues.
  • Researches discrepancies and past-due amounts with the assistance of the Executive Director, Chief of Staff, and contracted accounting firm.
  • Collaborates with the Executive Director, Chief of Staff, and contracted accounting firm to reconcile accounts receivable periodically (at least bi-monthly).
  • Facilitate payment of invoices due by sending bill reminders and contacting clients.
  • Generate financial statement and reports detailing accounts receivable status.
  • Creates reports regarding the current status of Grant accounts as requested.
  • Assist in streamlining the accounts receivable process by identifying areas for performance improvement.
  • Exercise integrity and confidentiality in financial reporting, and comply with the national and local financial requirements.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written communication skills in both English and Spanish.
  • Proficient in Microsoft Office Suite or similar software.
  • Strong mathematical skills.
  • Proven experience of accounting and bookkeeping and understanding of basic principles of finance.
  • Excellent time management skills and detail oriented.
  • Ability to maintain company and partner confidentiality.
  • Proficiency with QuickBooks.
  • Education and Certification: Bachelor degree in accounting, finance, or related field.
  • At least 3 years’ experience in a similar role

Desired Skills:

  • Spanish proficiency, verbally and written.
  • Education and Certification: CPA certification.
  • 3-5 years’ experience in a similar role.
  • Excellent data entry skills and understanding of internet applications and database entry.
  • Self-motivated and can work independently as well as collaboratively.
