Salary Range: $14.08-$17.38/per hour
Essential Functions and Objectives:
Working under the direction of the Manager, of the Office of Professional Development, the Professional Development Office Support will provide administrative clerical support in all areas of training and development in the Office of Professional Development for all Facility Management personnel.
– Utilize technology Learning Space (LS), along with MS Suite & Google to facilitate weekly course registration, rosters, manuals, course completion, process all registration, employee training records, files and database to include license and certification information and enrollment of year-round training classes for all Facility Management personnel. Verify and enter course metrics, input grades, review attendance, evaluations, data accuracy and completeness of information according to OPD course requirements.
– Coordinate registration for all off-site training seminars and conferences for Facility Management personnel.
– Perform basic and routine general office support duties, including: data entry; maintaining business records; review and completion of forms and applications; filing, distribution, posting, and mailing of correspondence; Answer telephone, greet visitors, respond to inquiries, and provide information, take messages, or transfer calls to appropriate individuals.
– Operate and troubleshoot office equipment (e.g., fax machines, copiers, and phone systems) and operate and utilize computers and related software (e.g., spreadsheet, MS Suite, Google, database management) and various OPD/Facilities software (e.g., LS, Employee Space, Lawson, TRIRIGA).
– Purchase, order and maintain all training video inventory, technical resources, documents, supplies and materials needed to facilitate training through the Office of Professional Development.
– Receive and process requests for the use of the Facility Management Training Center and update the calendar accordingly. Assist in maintaining the TC environment, including restocking of materials, equipment and supplies.
– Open, read, route, and distribute incoming mail & the OPD email box. Create, type, distribute, prepare and mail correspondence, and check for completeness and accuracy. Create and update OPD communication information per newsletters, website, memos, or bulletins.
– Provide back-up support for all positions in OPD, Facilities teams and perform other duties as assigned.
Knowledge, Experience & Other Qualifications:
– Must have intermediate to advanced skills in MS Suite Software & Google. Knowledge of Adobe PDF software products.
– Advanced skills in creating, formatting, and maintaining spreadsheets and data.
– A minimum of two or more years wage earning documented experience in administrative office support for maintaining files, records and databases. Experience in training and professional development techniques and practices highly desired.
– Highly organized and efficient. Able to manage multiple projects and meet deadlines.
– Team-oriented: able to work cooperatively with others at all levels and display flexibility.
– Demonstrated skills for planning, organizing, and prioritizing.
– Ability to problem-solve and follow instructions effectively and efficiently to complete assigned tasks.
– High level of professionalism, confidentiality and a keen sense of delivering excellence in service and diversity awareness.
– Effective verbal and written communication skills, in English; demonstrate ability to present information to groups, audiences and respond to training related questions. Emotional Intelligence a plus.
– Attentive to detail and have superb time management skills.
– Able to work independently, with strong work ethics and self-motivation.
– Excellent daily attendance is very important to maintain the professional development continuity necessary to meet instructional and performance requirements. In addition to meeting customer expectations.
– Possess the ability to coordinate instructional activities and work with staff and instructors as needed.
– Demonstrated behavior performing in compliance with established human resource and departmental policies regarding Attendance (absences, tardiness, sick leave and vacation use, and other scheduled or unscheduled absences); dress code; customer/member services’ safety, security, disaster and other policies, procedures and practices. Performance is limited to the scope of essential duties and responsibilities.
Education Requirements:
– Have a high school diploma or GED required.
