Full-Time Music Administration Associate, Orchestra and Assistant Conductors

REPORTS TO: Senior Director of Music Administration

STATUS:          Full-time, non-exempt

We are searching for an effective arts administrator to support our Music Administration team. This includes leading projects, coordinating logistics, tracking and reviewing payroll, working with contracts, and liaising with unions and union members. The Music Administration Associate will serve in a forward-facing role. The ideal candidate would be a sensitive and intuitive communicator with a passion for music and two or more years of arts administration experience.

 

DUTIES AND RESPONSIBILITIES:

  • Demonstrate leadership in accordance with Lyric’s mission and vision.

Orchestra and Assistant Conductors

  • Make contract offers to Regular and Substitute Orchestra Members and Assistant Conductors (music staff), as well as gathering and tracking new hire paperwork for dissemination to the HR and Finance Departments.
  • Calculate Assistant Conductor payroll and proof orchestra payroll every week to ensure proper payment of musicians.
  • Coordinate with the Senior Director of Music Administration and contractor on the hiring for Lyric Unlimited programming to fulfill musical needs.
  • Administer personal time, sick time, and unpaid professional leave requests for the Orchestra and Assistant Conductors per the relevant Collective Bargaining Agreement (CBA). Track and enter data capturing payroll sick and personal time for these groups to abide by pertinent CBA rules and deadlines.
  • In consultation with the Senior Director, Music Administration, issue disciplinary and docking notices for Orchestra and Assistant Conductors, per the CBA.
  • Proof and issue final Orchestra and Assistant Conductor rosters in collaboration with appropriate artistic personnel.
  • Maintain Music Administration records (personal contact and productions assignments) in Arts Vision and music administration databases for all Orchestra Members, Assistant Conductors, and Lyric Unlimited music staff.
  • Coordinate Millennium Park concert logistics for the orchestra and any outside musical group by liaising with the City of Chicago, Senior Director of Music Administration, Orchestra Personnel Manager, and other relevant staff.
  • Plan and assemble all rehearsal orders for gala concerts involving Orchestra, per the relevant CBA.
  • Maintain and proof program listings for all Orchestra Members and Assistant Conductors.
  • Arrange CFM safety training as requested in coordination with the Facilities Department.
  • Administer the Orchestra’s instrument insurance and maintain the Lyric Opera of Chicago instrument inventory.

Auditions

  • Coordinate the audition processes for Orchestra and Assistant Conductors, with oversight from the Senior Director of Music Administration. Audition duties include, but are not limited to:
    • Schedule and book venues for auditions both on- and off-site, organize all technical details (staffing, site visits, room set-up, etc.).
    • Coordinate all audition-related advertising (i.e., press releases and industry publication ads) per union contract regulations and web-based listings through Lyric’s Marketing Department.
    • Draft press releases in coordination with artistic team and Lyric’s public relations team.
    • Proctor internal auditions and external auditions as needed.
    • Serve as primary point person for all interested auditionees.
    • Assist the Music Administration Associate, Chorus & Dancers, with Chorus, Dancer, and American Musical Theatre Initiative (AMTI) auditions, as needed.

Other

  • Distribute musical cut lists to artists and staff in a timely manner and coordinate with the music library and Marketing on the corresponding webpage.
  • Assist with the AMTI as necessary to fulfill orchestral and ensemble needs.
  • Assemble budgetary research as requested.
  • Prove departmental administrative/clerical support as needed.
  • As the Music Administration function and team evolve, so may this role.

 

KNOWLEDGE AND SKILLS:

  • Bachelor’s Degree from an accredited college or university.
  • Basic musical understanding of both orchestra and vocal music. The ability to read music is required.
  • Outstanding communication and customer service skills required.
  • Utmost discretion and professionalism when dealing with sensitive personnel issues.
  • Must be highly organized and detail oriented with the ability to meet strict deadlines and handle multiple projects simultaneously.
  • Must be a highly motivated worker who can work individually and as part of a team.
  • Two or more years’ experience in arts administration or related field strongly preferred.
  • Previous experience with professional musicians, performing artist unions, and/or collective bargaining agreements strongly preferred.
  • Working knowledge of and comfort working with the Microsoft suite of products.
  • German, Italian, or French language skills a plus.

 

WORK CONDITIONS:

  • Ability to occasionally work evenings or weekends to oversee auditions or assist with special events or projects.
  • Sitting and standing for extended periods of time.
  • Ability to operate a computer keyboard, mouse, and to handle other office equipment.
