Full-Time Workday Project Manager & System Administrator

Job Description

The Workday Project Manager & System Administrator (PM and Sys Admin.) is responsible for the implementation, support, management, and resource allocation for Ipas’s ERP system – Workday. Ipas utilizes Workday’s full suite of solutions for Human Capital Management (HCM) and Financial Management. This role has ownership of the Workday system and is responsible for its day-to-day maintenance as well as its continuous evolution to ensure a system that meets the needs of various internal customers and the organization at-large. The Workday PM & Sys. Admin. will work closely with a Workday Steering Committee to ensure alignment of organizational objectives and priorities with resource allocation and planning. In order to ensure flexibility and cost-efficiencies, this role will be hands-on in management and maintenance of Ipas’s Workday system, but will also be empowered with and responsible for a budget for engaging short -term consultants to ensure the availability and alignment of skills and expertise for ongoing projects. The Workday PM & Sys. Admin. understands the processes performed by functional business areas and is proficient at leading these functional business areas in business process re-engineering and large-scale IT deployment initiatives. The Workday PM & Sys. Admin. is someone who can identify and address areas for process improvement and operational efficiencies. The Workday PM & Sys. Admin. is able to coordinate and find alignment across customers, business units and organizational needs to maximize efficiency and productivity. The PM & Sys. Admin. is a skilled communicator, a thorough documenter of processes and decisions, and an expert project manager, able to clearly and effectively provide updates to management on the status of ongoing projects, issues identified, and upcoming needs to support management with strategic planning and oversight.

Primary Responsibilities

  • Builds and manages relationships with senior leaders throughout the organization; coordinates across functions to successfully execute multiple complex global projects
  • Ensures and is accountable for strategic and operational alignment between Workday functionalities and internal user communities; serves as a link between internal users and subject matter experts.
  • Builds and executes system roadmaps to support organizational strategy and goals
  • Leads teams to define, document and standardize business processes. As needed and upon request, defines, documents, and standardizes business processes.
  • Act as the organization’s lead change agent for the organization in preparation and implementation of new system rollouts and upgrades
  • Provides technical and functional expertise including solution review, alternative options for resolution, and recommendations.
  • Proactively validates and identifies technical/functional issues and drives timely decisions
  • Serves as primary system administrator
  • Independently implement enhancements and solutions for identified issues, while also identifying skills needed from external resources to fill internal knowledge gaps
  • Develops and monitors appropriate metrics for performance, efficiency and use
  • Maximizes the use of internal ticketing system (FreshService) for tracking issues and their progress to remain proactive and transparent with communication to users and internal customers.
  • Develops triage criteria for assigning tickets among the subject matter experts, will establish the performance metrics and develop a knowledge base of common issues and learning opportunities based on analysis of trends
  • Facilitates cross functional team meetings and tracking of all activities, issues, risks, etc.
  • Establishes reports, and manages to all key performance indicators related to the project
  • Provides regular updates and communications to business leaders
  • Identifies, designs, and delivers integrations with other organizational systems
  • Manages relationships with external support vendors and suppliers
  • Other duties as assigned.

 

Requirements:

Minimum

  • Bachelor’s degree in related field
  • 9+ years relevant experience
  • 3+ years Workday ERP experience
  • Experience managing and overseeing staff, contractors, and vendors
  • Expertise in the design, implementation, and deployment of user-centric systems, with focus on usability.

 

Preferred Skills

  • Project management certification
  • Workday ERP certifications in Financials, HCM, Payroll, etc.
  • Rich skills and experience with Microsoft solutions especially Excel, PowerPoint.
  • Global systems deployment
  • Experience with Six Sigma, Agile, and other methodologies
  • Expertise in collaborative technologies including Microsoft solutions (SharePoint, OneDrive, Planner, etc.) and/or other project management tools
  • Strong understanding of systems development life cycle (SDLC) and ITIL framework and principals
  • International nonprofit/NGO experience
