Job Description

The Financial Associate is responsible for creating financial transactions, generating reports, reconciling accounts, preparing items for audits, maintaining an orderly accounting filing system, and providing clerical and administrative support to management as requested.
Position is part-time, 15-20 hours a week. Schedule is flexible. Part-time employees are eligible for a week’s paid vacation after working with the ACWL-Nuveen for one year. Paid time off for some holidays.
Pay is $18-$20/hour, depending on experience. There will be a performance review following a 3-month probationary period.
COVID-19 Considerations: Interviews will be done remotely, using Zoom.
Responsibilities and Duties
Create Financial Transactions
- Pay vendor invoices in a timely manner
- Pay any debt as it comes due for payment
- Issue invoices to customers/donors
- Collect sales tax from customers and remit to the government
- Process payroll in a timely manner; ensure all related payroll taxes are paid and reported at the appropriate times
Post Information to Appropriate Locations
- Record cash receipts and make bank deposits
Generate Reports
- Create, review, and issue financial statements
- Maintain the chart of accounts
- Comply with local, state, and federal government reporting requirements
- Reconcile Accounts
- Monitor debt levels and compliance with debt covenants
- Conduct a monthly reconciliation of bank, petty cash, and investment accounts
- Calculate variances from the annual budget and reports significant issues to management
Prepare Items for Audits
- Provide information annually to the external accountant for filing the ACWL-Nuveen’s taxes
- Provide information for external auditors during an audit
Misc.
- Monitor and purchase supplies and equipment as authorized by management
- Ensure that receivables are collected promptly
- Maintain the petty cash fund
- Maintain an orderly accounting filing system
- Provide clerical and administrative support to management as requested
- Manage Salesforce Nonprofit CRM
Required Qualifications
- High School diploma or equivalent
- Experience managing chart of accounts
- Thorough understanding of financial reports
- Working knowledge of QuickBooks Desktop
- Understands and applies GAAP
- Experience with payroll, federal income taxes, FICA, sales tax and unemployment
- Must be able to attend monthly evening board meetings and monthly afternoon finance committee meetings
Preferred Experience
- Associates Degree or higher in a related field
- Experience with annual budgets
- Non-profit experience
- Salesforce CRM experience is a major plus. Any CRM experience is extremely beneficial
- Clover point-of-sale experience
- Retail experience
- Understanding of keeping an inventory or willingness to learn
