Full-Time Office Assistant

Job Description

This position is responsible for receiving and processing applications for permits, easements and related actions involving land use. The incumbent provides secretarial support for the Planning Division of the Community Development Department and provides information regarding community development issues to the general public.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

• Provides secretarial support to the Planning Division; processes staff reports, meeting notices, agendas, letters, memos and other correspondence; prepares payroll records and maintains attendance records. 35%
• Attends Plan Commission and other Board/Commissions as assigned and prepares minutes and synopsis. Maintains records of Division and Board/Commission actions. 35%
• Responds to telephone calls, emails and visitor inquiries regarding development related issues, directing inquiries to appropriate personnel as required. 15%
• Receives and processes applications for items such as zone changes, conditional use permits, lot splits, minor and major subdivisions, easements, vacations and zoning appeals, and maintains appropriate files. 10%
• Processes deposits and invoices for the Business Improvement District(s) and maintains financial reports on a monthly basis. 5%
• Performs other duties as assigned.

REQUIRED MINIMUM QUALIFICATIONS

Education and Experience:
• Graduation from high school or equivalent
• Minimum of two (2) years clerical experience, including one year of experience in a related field.

Necessary Knowledge, Skills and Abilities:
• Ability to operate a computer using word processing and related functions, and ability to operate other office machines.
• Ability to keep accurate records and prepare detailed reports.
• Knowledge of proper English grammar, spelling and usage.
• Knowledge of Microsoft Office software.
• Ability to take and transcribe shorthand.
• Good oral and written communication skills.

Personal computer, printer, telephone, fax machine, calculator and copy machine.

PHYSICAL DEMANDS

The physical demands described in this position description are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the essential functions of this job, the employee is frequently required to sit, talk and hear. The employee is occasionally required to walk; use hands to finger/handle objects or operate tools or controls; and reach with hands or arms. The employee must occasionally lift and/or move up to 25 pounds.

Specific vision abilities required of this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT

The work environment characteristics described in this position description are representative of those an employee encounters while performing the essential functions of this job.

The noise level in the work environment is moderately quiet.
