Part-Time Division Coordinator
Job Description
Augustana University is currently seeking an individual to fill the position of part-time Division Coordinator. The hours for this position are 8:00 am to 3:00 pm Monday – Thursday with a one-hour lunch break and 8:00 am to 12:00 pm on Friday. This position runs for 10 months out of the year.
As a Division Coordinator, you will provide efficient and professional administrative, technical and clerical support for the Social Science Division personnel.
Responsibilities for this position include but are not limited to:
- Communicate essential and vital information to the division chair.
- Provide support to the Civitas honors program.
- Act as a liaison for students and professors by scheduling rooms and being the information center for the building, classes, emergencies, lost and found, etc.
- Demonstrate fiscal responsibility with the overseeing of the division budget, purchasing, handling of petty cash, and the ordering of supplies.
- Assist with technology: word processing, email, smart classrooms, copier, scantron, etc.
- Proctor exams in the event of a professor’s absence and provide supervision for make-up testing.
- Carry out administrative and clerical duties, schedule various internal meetings and support project-based assignments.
- Type, proof, and handle a broad range of materials, including confidential tests, faculty evaluations, and faculty and student letters of recommendation.
- Train, assist and supervise work study students as well as oversee schedule creation and time sheet approval.
- Collect and maintain syllabi for fall, interim, spring and summer terms.
- Create and maintain written job descriptions for work-study assistants and interview students for job openings.
- Provide a positive, helpful and welcoming reception area to greet and assist visitors utilizing exceptional customer service skills.
- Identify and prioritize office, classroom and building requests in a timely manner.
Qualifications:
- Associates degree preferred.
- Three to five years of office experience necessary.
- Previous experience in an administrative office environment a plus.
- Knowledge of higher education environments would be helpful.
