POSITION SUMMARY: This person is an integral part of the Events Team, working with the team on in-theater events, office events, sales meetings, and other events throughout the year. The Event Specialist will report to the Director, Event Meeting & Planning, and will work with the Assistant Manager & Director as well as ADs, Executives, and other departments throughout the company as needed. This person will manage elements of larger scale sales meetings, client entertainment events, and other events as needed.
ESSENTIAL FUNCTIONS: Essential duties and responsibilities may include, but are not limited to:
Event Management Planning & Oversight: Execute logistics of certain in-theater events (e.g. Added-value screening events) including theater rental, A/V, equipment and staffing orders, all communication with internal & client stakeholders, and liaising with on-site event managers
Coordinate logistical elements of larger scale sales meetings and events (e.g., facility selection, menu planning, transportation arrangements, audio/visual equipment, etc) as needed
Develop and maintain relationships with event booking contacts at AMC, Cinemark and Regal (as well as other affiliate partners, when needed)
Execution & budget for all in-office events (NYC, Chicago & LA) working directly with executive stakeholders in planning & coordination
Negotiate venue & vendor rates for owned smaller scale events and as needed for larger scale meetings & events
Maintain monthly event calendar and manage event status updates
Circulate detailed information sheets for in-theater events and generate event estimates
Review and develop administrative systems and procedures
Other duties as assigned
QUALIFICATIONS:
1-2 years’ experience at an agency, client or in an event marketing function
Excellent interpersonal and communication skills (written and verbal)
Will ideally have a passion for movies
Ability and willingness to travel, work nights and weekends on occasion
Demonstrated strengths should include adaptability, remaining calm under pressure and providing excellent customer service
Knowledge of Microsoft Office and Windows-based computer applications
Must be proactive, solutions oriented, organized and detail oriented
Must be able to balance, prioritize and multitask in a fast-paced environment with high volume
Must have a strong, positive working relationship with internal and external clients

EXPERIENCE AND TRAINING:
Any combination of the following experience and training (designated as required and/or preferred) that would provide the required knowledge and abilities is qualifying.
Experience: 1-2 years
Education: Bachelor’s Degree preferred

Work Conditions:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The role also requires frequent travel, working from hotels, outer offices, on-site at events, etc.
Physical Conditions:
Essential and marginal functions may require maintaining physical condition necessary for sitting for prolonged periods of time, etc.
Moving banquet tables/chairs & furniture, lifting boxes, being on one’s feet for long periods of time.
