Summary

Disabled lesbian leader is seeking an exceedingly well-organized part-time Executive Assistant to help provide support with communications and project management. The Executive Assistant will manage projects and daily tasks for home, rental properties, and nonprofit foundation work. The ideal candidate is a seasoned professional who takes initiative to move projects forward and achieve goals and is passionate about organization, planning, and communication. The Executive Assistant must have a keen eye for detail, be reliable, and be flexible around changing priorities. This position can be fully remote.

Responsibilities

  • Proactively check in at the start of the day to review the executive’s agenda and to-do list.
  • Manage and organize projects related to home/personal life, rental properties, and duties at a nonprofit serving LGBTQ+ women and nonbinary people to help maximize the executive’s efficiency, productivity, and performance. Help “hold all of the details,” to ensure she is always on top of what needs to get done and by when.
  • Review, flag, and prioritize the executive’s inbox. Draft correspondence on her behalf and place it in a draft folder where she can review, edit, and send it at her convenience.
  • Ensure that emails are responded to promptly.
  • Proofread emails and other communications.
  • Monitor the calendar, confirm appointments for the following day, and remind the executive of upcoming meetings.
  • Help plan, brief, and prepare her for meetings, appearances, and teleconferences.

Skills and Qualifications

  • Self-starter with excellent organizational and interpersonal skills.
  • Strong verbal and written communication skills, including writing, proofreading, and editing.
  • Strong attention to detail, project management, decision-making, problem-solving, and time management skills.
  • Comfort with being flexible around changing priorities and promoting personal sustainability to support the executive’s efforts to manage chronic pain.
  • Trusted to manage important details and follow through with accuracy, discretion, and a sense of urgency.
  • Strong working knowledge and skill using G-suite and Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), Zoom, and overall tech savvy.
  • Must be self-directed and able to work independently.
  • Proactive in looking for meaningful ways to lean in, help, and make an impact, especially if/when there’s downtime.
  • Available to work fully remotely for four hours a day, usually from 10 am to 2 pm Pacific Time, though this is flexible.
  • Lived experience in the queer community is a plus.

Education & Experience

  • Bachelor’s Degree (B.A.) preferred
  • A minimum of four years of experience supporting executives in a position that requires tact, diplomacy, confidentiality, and organizational agility.
  • Experience with nonprofit organizations is desirable.
