Job Description

At the Sharon Hill Medical Office, a division of AIDS Care Group, the individual will perform administrative and clerical duties using specific knowledge of medical terminology, clinic, or laboratory procedures. Duties include scheduling appointments, providing patient assistance, completing required paperwork, income assessments of patients, and compiling and recording medical charts, reports, and correspondence. Responsible for maintaining the patient waiting area and keeping it clean.
Answering the 907-telephone system using appropriate etiquette and directing calls accordingly
Greet and acknowledge all patients according to agency standards
Receive, record and relay messages accurately, completely and legibly
Speak with others using clear, professional and polite language
Develop and maintain positive working relationships with others, support the ACG team to reach common goal
Make appointments for patient visits for Sharon Hill primary care and oral health services
Make referrals to specialty medical providers
Coordinate workflow of appointments, co-pays, medication administration, pharmacy coordination, requesting records, requesting prior authorization, and STD testing
Verify patient insurance prior to scheduled visits.
Make appointment reminder calls to scheduled patients; conduct outreach efforts for missed appointments
Document encounters in patient medical records as necessary
Receive and appropriately direct incoming and outgoing correspondence related to patient care
Receive the patients and answer questions, in person and by telephone; responds to inquiries from patients and employees, public inquiries as to our services, and when needed, referring patients to the appropriate person, or department
Assist patients designating AIDS Care Group as their Primary Care Provider
Provide clerical assistance to medical staff
Help maintain accurate patient records for the Quality Improvement Program and other program reporting requirements
Maintain 907 office areas
Prepare outgoing mail, sorts, dates and distributes incoming mail
Participate as needed in special department projects
Other duties as assigned
Requirements/ Qualifications:
High School Diploma (or GED equivalent with skills in general office practice)
Prior medical office experience preferred
A working knowledge of the community and the ability to link clients to services in the community when necessary
Must be able to comfortably work with people of all lifestyles
Experience with Medical Assistance, Medicaid, Medicare and Health Choices billing regulations and systems is a plus

Experience with/knowledge of Ryan White Program preferred, but not required
Work Conditions:
Primarily stationary position
Exposed to hazards of office such as filing cabinet drawers, desk drawers, boxes being delivered that may need to be moved and or picked up.
Subject to paper cuts.
Occasional stooping, reaching, bending, kneeling, crouching.
Occasional lifting of equipment or supplies (up to 50lbs).
Handle emergency or crisis situations.
While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand, walk, use hands to finger, handle or fell, and reach with arms and hands.
