About the Role
The Program Associate, Membership, is responsible for providing administrative, logistical, and programmatic support for Global Ties U.S. membership relations and training programs. The position will provide this support primarily by responding to members’ inquiries, liaising with the U.S. Department of State, compiling, analyzing, and presenting membership data, and processing membership dues. The Program Associate will be an integral part of member onboarding, engagement, and communication programs, working closely with the team responsible for developing and executing an array of member related activities, both online and in-person.
The position requires a professional with a combination of strong interpersonal, customer service, administrative, and communication skills, as well as a person that is highly energetic, detail oriented, and with the ability to handle multiple projects, priorities, and personalities at a time. It also requires the ability to use databases, spreadsheets, and online tools such as content management systems, and platforms for surveys, webinars, and data collection.
Reports to: Senior Program Manager, Training and Community Development
Location: This position is based in Washington, DC. This position has limited telework.
Essential Functions and Duties
Member Relations & Communication
- Responds to general inquiries from members and stakeholders
- Executes routine communication with members and leadership
- Reviews dues structure and leads annual membership dues collection
- Markets new programming opportunities to members
Reporting & Database Management
- Compiles data for online membership directory, and prepares directory for printing and publishing
- Collects and disseminates member staff changes for timely community-wide announcements, and regular Salesforce updates
- Conducts research, compiles, and analyzes data for reports on topics such as local impact, programs, membership, and other requests from leadership
Programming & Content Management
- Implements member onboarding process
- Designs and implements the Network DC program for members
- Assists with planning and implementation of the National Meeting, Regional Summits, webinars, and other education and capacity building programs for members
- Develops agendas and executes regular member conference calls
- Supports the regular updates of the Member Portal site with timely information and maintains content overall
- Assists with preparation of grant project proposals to the State Department and other funders
Minimum Qualifications & Experience
- B.A. in international affairs, nonprofit management, communications, or related field
- Experience in a customer service focused role
- Demonstrated experience with MS Office (including Excel, Word, PowerPoint, and SharePoint)
- Strong project management and organizational skills
- Strong interpersonal, written and oral communication skills
- Must be able to travel locally and outside of Washington, DC as needed
- Global Ties U.S. operates on a hybrid work schedule, and everyone must work in the office at least two days a week. For 2024-2025, the required in-office days for this role are Wednesdays and Thursdays, but subject to change. There will also be the occasional need for required in-person work beyond traditional in-office days for event-related activities.
Desired Qualifications
- Experience working at a membership organization
- Experience with Customer Relationship Management (CRM) software (e.g., Salesforce)
- Interest and/or experience with survey and form software (e.g., Submittable, Alchemer), project management software (e.g., Basecamp); and learning management platforms (e.g., Bridge LMS)
- Experience with Adobe Products
- Experience planning, implementing, and/or facilitating webinars and virtual meetings
