Job Description

POSITION REPORTS TO:       Director, Leadership Giving

POSITION MANAGES:             None

POSITION LOCATION:            Hybrid – will require days onsite and allow telework 

Wolf Trap Foundation for the Performing Arts seeks a Coordinator, Leadership Giving, who will be responsible for coordinating Wolf Trap Foundation’s leadership giving fundraising efforts including the development of comprehensive prospect and donor research, and planning and implementation of donor cultivation, stewardship, and special events.

DUTIES AND RESPONSIBILITIES:

Leadership Giving Program Coordination:

  • Assist Leadership Giving team in Prospect/Donor Management by helping Relationship Managers (RMs) maintain portfolio data in The Raiser’s Edge database including prospect ratings, strategies and assigned solicitors.
  • Monitor proposal records, prospect actions, profiles, gift details, and event debrief downloads to ensure the most strategic and efficient donor outreach.
  • Develop strategies to measure team productivity; and keep clear documentation of moves management processes.
  • Prepare materials for Directors, VP, the President and CEO, and other Foundation leadership, including donor profiles for internal use and Board nominations.
  • Assist leadership in developing strategy plans, correspondence, major gift proposals, presentations, and preparatory/support materials for key donor meetings and donor communication.
  • Schedule meetings with viable prospects.
  • Ensure appropriate stewardship of major donors through oversight of acknowledgement letters, donor listings and other public recognition, profiles, sponsorship gifts, individualized stewardship, and other stewardship vehicles. Oversee compilation and mailing of annual Leadership Gift stewardship reports.
  • Track designated revenue, individual leadership giving, and Foundation Board budgets, ensuring accurate and efficient processes for budgeting and reforecasting.
  • Attend and cultivate prospects at fundraising and other events, and determine and execute effective follow-up actions.
  • Serve as key liaison for program and interdepartmental support, including Education and Opera departments, to secure updates and coordinate program-specific projects, including coordinating site visits.

Administration:

  • Process leadership gifts and all gifts of stock.
  • Manage pledge reminders and multi-year payment schedules as needed.
  • Effectively communicate the Foundation’s funding priorities in writing and in speech to constituents and successfully match donor’s philanthropic interests to funding needs.
  • Produce high quality written materials including proposals, briefings, solicitations, and acknowledgements to donors and prospects in a timely manner.

Events Coordination:

  • Collaborate with Special Events team to plan, execute, and evaluate leadership giving events, focusing on maximizing prospects and donor engagement.
  • Analyze success and outcomes of each event (approximately ten per year). Identify and implement other opportunities to engage leadership giving donors and prospects.
  • Identify, compile, and distribute key guest information to yield maximum results for each event.
  • Schedule and lead event debrief meetings and assist with all follow up strategies. 
  • Other duties as assigned.

Pipeline Development:

  • Exercise initiative and independent judgement to manage comprehensive prospect research efforts and regularly scan membership pool by pulling reports, creating spreadsheets and data mining to increase pipeline by identifying potential leadership and planned gift prospects.
  • Create reports; utilize data to develop prospect strategies.

EDUCATION AND EXPERIENCE: 

  • BA/BS degree or equivalent preferred
  • 2-4 years related experience
  • Experience in a non-profit organization preferred

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent interpersonal, verbal, and written communication skills
  • Strong organizational skills, attention to detail, and ability to manage multiple projects and priorities simultaneously
  • Proficient in Microsoft Office programs; Word, Excel, and PowerPoint in particular
  • Familiarity and experience with Raiser’s Edge database preferred
  • Sensitivity to confidentiality and ethical considerations related to prospect and donor information
  • Ability to work some evenings and weekends, especially during the summer
  • Ability to think strategically and critically
  • Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts

PHYSICAL DEMANDS:

  • Must be able to remain in a stationary position 75% of the time
  • Regularly operates a computer and other office equipment (i.e. calculator, copier, printer, etc.)
  • Regularly required to stand, walk, stoop, bend and reach with arms
  • Lift/move up to 10 pounds infrequently
