Full-Time Senior Staff Assistant
Job Description
The City of Worcester seeks qualified applicants for a Senior Staff Assistant for the Administration Division within the Department of Public Works and Parks. Under the general supervision of the Commissioner of Public Works and Parks, the Senior Staff Assistant is responsible for receiving and responding to requests for public records, general inquiries, and complaints from the public, in person, via telephone and/or email. The employee will maintain and track lists pertaining to DPW & Parks programs and department property accidents. The Senior Staff Assistant will also be responsible for performing other general administrative duties.
ESSENTIAL ELEMENTS:
- Responsible for the performance of a wide range of administrative services including but not limited to inquiries on the telephone or via email, file and sort documents, and assist with procurement of goods and services
- Prepare correspondence, post meeting notices, transcribe and disseminate meeting minutes, edit/proofread documents, prepare meeting agendas, arrange and attend meetings, process and prepare correspondence, reports, manuals, brochures, etc.
- Receive and respond to requests for public records and complaints from the public in person, via telephone and/or the internet
- Perform public information services including facilitating verbal and written communications, often of a technical nature, between the department and the public
- Oversee the day-to-day communication with residents and businesses impacted by work of the department
- Prepare and review documents and communications for City Council or other public meetings, publications, presentations, and the website
- Prepare and review content for the Department’s public facing webpages and social media accounts
- Attend the bimonthly Public Works Committee evening meeting and other occasional evening meetings to provide note keeping and other purposes
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of municipal budgeting and standard operating practices
- Knowledge of the provisions of the State Public Records Law
- Knowledge of basic accounting procedures and techniques
- Ability to maintain confidentiality
- Ability to work independently and interact with personnel from other departments, and effectively interact with displeased members of the public
- Ability to establish and maintain effective working relationships with diverse populations, organizations, and interests
- Ability to respond to inquiries and service requests in a timely manner
- Ability to manage multiple complex projects and competing priorities
- Ability to work independently, exercise good judgment and make sound decisions
- Ability to interpret and follow local, state and federal regulations/statuses
- Ability to perform multiple tasks in an organized, detailed, and timely manner
- Ability to conduct independent research, prepare detailed and accurate reports and written correspondence
- Ability to operate standard office equipment
- Excellent verbal and written communication skills
- Strong research and analytical skills
- Demonstrated computer proficiency
- Proficiency with Microsoft Office Suite
MINIMUM REQUIREMENTS:
- Bachelor’s Degree in Business, Accounting, Public Administration or related field OR;
- An equivalent combination of education, training and three (3) years of related professional working experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job will be considered in lieu of the above-mentioned requirements
- Two (2) years of related professional experience in an office environment
- Prior experience preparing complex reports
- Excellent verbal and written communication skills
PREFERRED QUALIFICATIONS:
- Five (5) years of related professional experience in an office environment
- Two (2) years of professional experience in a municipal environment
SALARY RANGE: $66,204 – $86,616 annually, full-time, exempt, with an excellent benefits package.
