POSITION REPORTS TO: Director, Internships and Community Programs
POSITION MANAGES: None
POSITON LOCATION: Hybrid – will require days onsite and allow telework
Wolf Trap Foundation for the Performing Arts seeks an Assistant, Internships and Community Programs. With oversight from the Director, the Assistant, Internships and Community Programs assists with the implementation of program administration and logistics for the Internship and Apprenticeship program, and supports program administration for other Community Programs as assigned by the Director and the Vice President, Education.
DUTIES AND RESPONSIBILITIES:
Program Support:
- Maintain systems and procedures, including contract and invoice tracking for all Internship and Community Programs as well as program evaluation systems.
- Create and process Children’s Theatre-in-the-Woods and Field Trip artist offer letters and confirmations as well as contracts for interns, apprentices, and artists.
- Maintain budget and track expenditures/transactions for all programs.
- Collaborate with Internships and Community Programs team on budget and program planning.
- Represent the Foundation with various internal and external stakeholders.
- Other duties and responsibilities as assigned.
Internship and Apprenticeship Program:
- Assist with recruitment for the Internship and Apprenticeship Program by researching and attending in-person and virtual career fairs, scheduling information sessions at the Center for Education, on college/university campuses and virtually, and attending meetings with prospective intern and apprentice applicants.
- Assist the Director by serving as a point of contact for college/university career services employees to assist with their recruitment efforts and to further market the Internship and Apprenticeship Program.
- Assist with coordination and implementation of all intern and apprentice events, including but not limited to, seminars, tours of Wolf Trap’s performance venues, networking events, field trips, and professional development opportunities for interns and apprentices participating in the Multicultural and/or Economic Diversity Initiatives.
- Coordinate distribution of marketing materials for the Internship and Apprenticeship Program.
- Assist with oversight of the Paycom Applicant Tracking System for intern and apprentice positions.
- Responsible for entering/editing internship and apprenticeship information on college/university career center web sites.

Front Desk Coverage:
- Serve as part of a pool of support staff to provide front desk coverage; welcome and assist all visitors to the Center for Education.
- Maintain security procedures by having all visitors sign in and issue volunteer visitor badges.
- Screen, route, and respond to general phone inquiries.
- Accept packages and notify appropriate staff person or department; provide access to loading dock for deliveries.
EDUCATION AND EXPERIENCE:
- 1-2 years’ experience in arts education and program administration
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent organizational, written and verbal communication, and customer service skills
- Proficiency in computers and appropriate software, such as Microsoft Office programs, and relationship databases
- Excellent time management skills, with evidence of overseeing, prioritizing, and executing multiple deadlines on a regular basis
- Willingness to travel and work nights/weekends on occasion
- Ability to help students understand and adjust in a professional work environment
- Ability to communicate effectively in various forms and have strong presentation and facilitation skills
- Must possess the ability to handle confidential and sensitive information, along with the ability to work cooperatively with a diverse group of people
- Direct experience in coordinating events for the general public preferred
- Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts
PHYSICAL DEMANDS:
- Must be able to remain in a stationary position 75% of the time
- Regularly operates a computer and other office equipment (i.e., calculator, copier, printer, etc.)
- Occasionally required to stand, walk, stoop, bend and reach with arms
- Lift/move up to 10 pounds infrequently

The Foundation does not offer fully remote work for any full-time, seasonal, or variable positions. Applicants who reside in any other state are required to relocate to Virginia, Maryland, or the District of Columbia prior to starting work for Wolf Trap Foundation.
