Full-Time Executive Assistant to CEO

The Opportunity:
This reputable organisation is looking for an Executive Assistant to the CEO to work alongside the CEO, providing project management and supporting communications, as well as organising, tracking, maintaining and follow up on all of the CEO’s activities and deliverables.
Key Responsibilities:
- Project Management: Translate ideas into processes that drive execution. Develop, improve, and implement routines to capture and track CEO projects. Manage and follow-up CEO priorities. Proactively allocate tasks to members across the Company as necessary and notify CEO what actions need to happen by when. Lead and project manage the delivery of key programmes.
- Communications and Marketing: Align with the Communications, PR, Marketing and Events team to develop, write, edit and proofread speeches and statements; produce presentation content and speech notes and produce appropriate briefs for speaking engagements, seminars, webinars, blogs, video and podcast production etc.
- Research: Assemble, review and summarise key messages from various publications, including sector policy reports, stakeholder reports, press articles and meeting papers to provide the CEO with an appropriate brief and robust, evidence-based advice to support understanding and inform decision making.
- Report Writing: Produce report templates and draft reports on behalf of the CEO, including monthly performance reports and Board and sub-Committee papers.
- Meeting Support: Coordinate, plan and where appropriate attend, internal and stakeholder meeting and events. Prepare and assemble materials for meetings, take minutes, coordinate and/or action appropriate follow-up after meetings e.g. produce letters, emails, or notes after each meeting, produce and circulate draft minutes, coordinate or complete action points within agreed timescales.
- Correspondence Management: Open, screen and prioritise incoming correspondence and produce prompt, high quality, professional responses on behalf of CEO as appropriate, including identification of any input required from across the Company and/or forward to appropriate team members and coordinate required action as appropriate.
- Diary Management: Respond to all meeting requests and schedule all appointments.
- Relationship Management: Build and maintain a wide range of day-to-day relationships with all stakeholders.
- Governance: work closely with the Head of Governance, Risk and Compliance to support the CEO with their accountabilities and responsibilities as Accounting Officer.
- Travel Arrangements: Coordinate travel arrangements including booking flights and hotels; prepare itineraries, confirm details and communicate finalised agendas. Produce CEO expense claims and submit for approval and payment.
Essential Requirements:
- Previous experience working as an EA to a CEO/ Executive Team, preferably within the Public Sector.
- Practical application of project management methodology including risk and opportunity management.
- Demonstrable track record of speech and report writing, and minute taking, with a well-developed proof reading ability.
- Proficient in window-based software packages, project management tools, CRM systems and Canva.
- Evidence of expert research ability – capable of identifying salient information and distilling complex and/or lengthy documents into succinct and well-written summary reports.
