Job Description
The Shorelands and Environmental Assistance (SEA) program within the Department of Ecology is looking to fill a Washington Conservation Corps (WCC) Secretary (Secretary Senior) position.
This position can be located in any one of the following offices:
Headquarters Office in Lacey, WA.
Central Region Office (CRO) in Union Gap, WA.
Eastern Region Office (ERO) in Spokane, WA.
Upon hire, you must live within a commutable distance from the duty station.
If you are looking for an exciting opportunity to work in a program that provides hands-on service opportunities to young adults and military veterans as they develop skills in the environmental field, then this position may be for you. In this role, you will interact with and provide customer service to WCC’s 350 members and staff as we help build the next generation of environmental leaders. You will perform complex secretarial duties for the WCC section, including administering 300 AmeriCorps member files and maintaining member records in multiple systems. This is an opportunity to gain skills in AmeriCorps program administration.

Please Note: This is a project position that is funded until September 30, 2025. The Funding for this position has a high probability of being renewed.
Tele-work options for this position: This position will be eligible for up to a 90% tele-work schedule. Duties
What makes this role unique?
In this role, you will support our dynamic AmeriCorps program through file administration and complex timekeeping for 300 AmeriCorps members annually. You will interact with field and office-based staff to provide clear information field inquiries from external customers, and provide support periodically to the Washington Conservation Corps (WCC) logistics and training teams.
What you will do:
- Correspond frequently with WCC customers, write external and internal memos and letters .
- Administer 300 AmeriCorps files to meet federal and state compliance requirements; process timely AmeriCorps enrollment and exit paperwork.
- Audit biweekly time accounting and process timekeeping memos; communicate errors and necessary steps for corrections.
- Track member hours and perform regular database management.
- Answer WCC inquiries from internal and external customers, screen calls and elevate to Administrative Team Lead or others as appropriate.
- Create deployment timekeeping rosters when WCC responds to local or national disasters.
Qualifications
Required Qualifications:
Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:
- 30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
- 20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience. See below for how you may qualify.
A High school diploma or GED equivalent AND two years of increasingly responsible office experience requiring keyboarding or typing.
Special Requirements/Conditions of Employment:
- Must not be registered, or required to register, with the National Sex Offender Public Registry.
- Must successfully pass a criminal history background check.

- Knowledge of Washington Conservation Corps procedures.
- Knowledge of proper grammar and plain talk principles; strong written and verbal communication; basic Excel and mathematical formulas.
- Ability to follow directions, comprehend complex directives and regulations, work with others, conduct research, and compile meaningful written reports.
