Full-Time Children and Young Persons Coordinator (Sales & Support)

Job Description

The Children & Young Persons Coordinator (Sales & Support) will have responsibility for sales of the wide range of Storybarn products, as well as offering vital administrative to the wider CYP team; our Shared Reading projects for children and families. Flexible in your approach, you will also contribute to the delivery of creative and inspiring Storybarn programming as part of the wider Storybarn team

This role could be for you if you:

Knowledge and Skills

  • To support and contribute to the delivery of a varied programme of sessions and events for babies, children and families across The Storybarn, The Mansion House and within Calderstones Park itself. Storybarn delivery will make up a small part of the role at present and we will be constantly evaluating this contribution to delivery in line with market / demand / the proportion of time required for effective sales admin to be undertaken
  • An awareness of and active commitment to upholding our safeguarding policies and procedures

 

Leadership and People Management

    • Take the departmental lead on IT systems such as MONAD and YesPlan systems, using such systems alongside your in depth knowledge of the daily and weekly activities in the Storybarn to effectively administer all aspects of CYP work

 

Communication

    • Have an in depth knowledge of the sessions on offer, to be able to fully respond to customer queries
    • To be a point of contact for all Storybarn Birthday Party Enquiries and bookings, seeing through arrangements from initial customer enquiry to final handover of details to Storybarn team to delivery. You will process final numbers, catering choices, catering order etc.
    • Work closely with the Communications and Marketing Team to agree content creation of several Storybarn newsletters to be sent to families and schools on a regular basis – 3 x Schools newsletters annually, and on average 6 annually for Storybarn Mailing list
    • Working with wider Storybarn team, you will contribute content for our Storybarn social media platforms, taking a lead on sales communications
    • Updating the Storybarn Webpage & Instagram Linktr.ee whenever there are changes to programming

 

Liaison and Networking

    • Regular sales communications with the existing Storybarn schools network via phone and email. This will include the providing of information to schools regarding Storybarn products, answering any queries they may have pre and post booking.
    • Supporting Comms team via CRM with updating the mailing list for schools and teachers
    • Taking bookings via email & phone
    • Contribute to the ongoing expansion and strengthening of the educational network both on a local and national level. This will include cold calls/emails and following up on new leads.
    • Make arrangements for family fun days, such as booking transport, chasing and submitting catering orders and managing Storybarn calendar

 

Planning and Organising

    • Devise new routes to market within a brief/target outlined by the Head of Events & Commercial
    • Work alongside the Box Officer Manager for Half Termly creation of new Storybarn events, and extending dates for regular programing in line with Newsletters. Responsible for co-creation and detailed checking of all events on MONAD, as well as checking those dates are adequately reflected on Yes Plan for the organization.
    • Actively contribute to creative content with an eye on salability and promotion planning and org working towards a termly and yearly target
    • Processing the relevant paperwork to accompany a school booking utilising and updating the Reader’s contact database to track all communications
    • Inputting of sales data and the running of a monthly report to track sales and inform strategy
    • Process and confirm all birthday bookings using appropriate IT systems
    • Monthly reporting on sales figures to the Head of Events & Commercial and Director’s Group
    • Inputting evaluation data into appropriate spreadsheets to ensure projects are on track for meeting targets and reporting deadlines

 

Initiative and Problem Solving

    • To be a member of the weekend ‘on call’ team for the Storybarn.  This includes covering social media accounts, posting new weekend content, checking the inbox regularly across the weekend and should no other member be able to work a shift / in the event of staff sickness or emergency, it is expected that you would physically cover the delivery of the Storybarn as required. This means you will need to remain in Liverpool for all on call dates, in case your attendance at a shift is necessary.   As a guide, we expect on call contact one weekend a month
    • When ‘on call’ you are the first point of contact to support the Storyhunters on delivery. You will be at the end of the phone to problem solve, resolving any issues that may arise on the day. Swift and decisive decision making will be key here.
    • Maintain a high level of customer service for the Storybarn experience, responding to complaints / operational issues where appropriate

 

Decision Making and Freedom to Act

    • Prioritising sales calls and content in line with your own forward planning / estimations of market demand and interest
    • Dealing with customer complaints, cancellations and any number of booking requests that come through to The Storybarn inbox or telephone and taking immediate and appropriate action to resolve any issues there and then

Teamworking and Collaboration

      • Support the ongoing sales of the sessions through attending and contributing to meetings with Comms, Marketing & Development
      • Relaying all confirmed and final party details over to The Storybarn Co-coordinator (Creative and Training) to ensure all requirements for delivery are received and understood
      • Raise POs with the finance team, ensuring all CYP purchases are made in a timely and streamlined manner

  • Able to engage via email/calls in a relaxed, open and non-judgmental manner
  • Confident in dealing with the sometimes challenging behaviours of children
  • Committed to providing excellent customer service
  • Ability to remain calm under pressure
  • Able to work flexibly, unsupervised and self-motivated including the flexibility to work weekends on a rota basis
  • Proficient in the use of MS office and willing to learn other IT systems and software as we look to further develop our virtual offer (E.g. Zoom)
