Job Description:
The Office Specialist, Student Success is directly accountable to the Senior Vice President for the following duties and responsibilities. The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carryout its mission.
- Provide clerical and administrative support to the Senior Vice President and Student Success Division.
- Promote a positive image on behalf of the College by greeting and receiving visitors, students, and colleagues. Respond appropriately to inquiries from diverse College stakeholders based on an effective assessment of need and urgency.
- Approximately 15-20 hours per week, act as a greeter and front desk customer service professional for Raider Central.
- Work with financial aid to process financial aid forms and documents and manage the Federal Work Study program.
- Draft meeting minutes.
- Coordinate meetings to include set-up, location, and time.
- Maintain appointment calendar for the Senior Vice President.
- Prepare and proof official correspondence, memoranda, minutes, presentations, charts, and other documents, ensuring completeness and accuracy.
- Handle outgoing and incoming mail and distribute as needed.
- Monitor and maintain budgets for the Student Success Division in accordance with college policies and procedures, including the preparation and tracking of purchase requisitions and blanket purchases orders.
- Maintain and order office supplies; ensure appropriate supplies are on-hand for copy machines.
- Make travel arrangements, prepare necessary paperwork, and process all related transactions.
- Answer routine questions related to Student Success policies and procedures.
- Safeguard confidentiality and exercise discretion in the communication of information to include administrative records, files, and other confidential items.
- Assist with special projects, as needed.
- Perform other duties as assigned.
- As a part of the college’s risk management tool annual mandatory compliance training is required.

Requirements:
- High School Diploma or equivalent with 2-4 years work experience, Associate degree with 1-4 years work experience or Bachelor’s degree plus 1 year work experience required.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) required.
- Excellent customer service skills.
- Demonstrated excellence in written and oral communication.
- Strong interpersonal and organizational skills.
