Full-Time Operations Manager, Field Team

Job Description

Everytown for Gun Safety, the nation’s largest gun violence prevention advocacy group, is seeking an Operations Manager to fulfill an integral role on our Field Team. This position plays a critical role in the operations and function of the Moms Demand Action volunteer chapters and the Field Team staff members. This person provides leadership and logistical support around tools and technology used by volunteers and staff, budgets, travel, and event coordination, along with other duties as necessary.

We prefer this person to be based in our Washington, DC  or New York City office, but will also consider remote candidates. Staff based in DC or NY will be expected to work in the office on Mondays, Tuesdays, and Wednesdays. This position will report directly to the Director of Field Operations and Learning & Development.

The salary range for this position is $85,000-$95,000/year. We offer benefits including health insurance, vision, and dental, which include gender affirming care, abortion services and care, newborn care and support, mental health services, basic short and long term disability, basic life insurance, 12 weeks of paid bonding leave for birthing and non-birthing parents, plus an additional 6 weeks of paid disability leave for birthing parents. We offer 20 paid vacation days, 2 personal days, 10 sick days, several paid holidays, summer Fridays in which we close at 3pm, and the Everytown offices are closed between Christmas and New Years. We have a continuing education reimbursement program. For remote workers we provide $75/month in cell phone reimbursement as well as a computer and other tech equipment.

We’ll trust you to take on the following responsibilities:

Operations Management

  • Communications and document management – manage shared drives, Google groups, and develop trainings and presentations for staff who interact with our administrative and spending systems. Provide notes and next steps for departmental meetings. Copy editing as needed.
  • Manage 4 regionally-based administrative staff who support the Moms Demand Action volunteer chapters with budgeting, spending, accessing our systems, and using VAN.
  • Provide support and strategy and manage logistical aspects for team-wide and organization-wide events and meetings.
  • Budget Management – in consultation with the department leadership, develop budget recommendations and department wide tracking, provide updates, and liaise with the Finance department and accountants. In addition, support the oversight of budgets for individual Moms Demand Action chapters.
  • Accounting – track expenses and invoices. Conduct monthly review of our accounts to reconcile expenses.
  • Contracts and vendor management – shepherding contracts and payments for volunteer and staff events through our contract review and approval process, keeping our database of frequent vendors up to date with relevant paperwork and occasionally communicating directly with vendors
  • Administrative support for the department and volunteer needs – for example, ordering and shipping Chromebooks to volunteers.
  • Proactively improve systems and processes for field staff and volunteer management.
  • Programmatic/campaign projects as assigned

Required skills and qualifications

  • Understanding of how stereotypes, bias, and forms of racism in America (including structural racism, implicit bias, gender bias, religious bias, ageism, and bias based on gender identity or sexual orientation) impact our society, with an expectation that you will develop an ability to articulate the connection between these large societal issues and the disproportionate impact of gun violence on specific demographic groups in America.
  • Understand how dynamics of power, voice, and privilege impact one-on-one and group interactions, and a commitment to using power, voice and privilege to make our movement more equitable.
  • 3+ years of related professional experience, including 2+ years supporting team operations and 2+ years managing staff
  • An experienced manager with the ability to develop people’s skill through coaching, training, and feedback. You are able to build trusting relationships, to incorporate practices for equity and inclusion into your management, and to use both data and qualitative information into your management approach.
  • Detail-oriented in communication, review of paperwork, and creation of systems
  • Proficiency in Microsoft Office, Google suite, and the ability to quickly learn new systems
  • Ability to organize large amounts of complex information for concise decision making
  • An independent and proactive problem solver with the ability to be resourceful
  • Comfortable shifting priorities and plans quickly when needed
  • Able to work confidently and independently with lateral and senior staff
  • Ability to keep information and workflow organized and easily accessible for yourself and others
  • Experience coordinating logistics for events, including finding and working with a venue, collecting and producing materials, and needed arrangements for staff and volunteers.
  • Strong oral and written communication skills
  • A friendly, patient, and proactive approach to supporting colleagues and volunteers
  • Ability to travel occasionally as needed

The strongest candidates will also have our preferred skills and experience:

  • Experience working with volunteers, organizing or political teams in a staff position
  • We have a preference for hiring people who are survivors of gun violence, have lived experience with gun violence, or are from a community disproportionately impacted by gun violence.
  • Experience working with or working for an organization that serves communities disproportionately impacted by gun violence.
  • Fluency in Spanish
  • Experience using systems like Quickbase to manage contracts, invoices, and payments, as well as VAN to track and analyze volunteer engagement
