Full-Time Production Assistant

Job Description

The role

The role of the Production Assistant is to provide general administrative support to the production team (including where relevant to the Operations Director), as well as taking on specific tasks and roles of their own. As such the role is very varied and encompasses many areas of activity as required. In addition, following defined workflows and standard processes, they have specific responsibility for: managing the successful distribution of our digital files and products to third parties; supporting the Product Delivery Manager in reprinting titles or relocating stock; setting up and distributing files for print on demand.

What will you be doing?

  • Assist the Product Delivery Manager and Content Creation Manager with processing invoices, fee claims and expenses following set procedures.
  • Chase missing payments when necessary and deal with incoming queries from suppliers regarding PO numbers and missing/late payments.
  • Set up suppliers, including freelance copy editors, on the finance system on behalf of the department.
  • Create and check files [including any remedial corrections] required for printing ‘New in Paperback’ and/or POD and under direction of Product Delivery Manager send to the selected printer, issuing print order and checking schedules are adhered to for processing.
  • Receive eBook files from suppliers and upload on a weekly basis to the 3rd party digital delivery software solution (Coresource) in liaison with the Product Delivery Manager.
  • Prepare metadata files running automated and/or routine reports from Klopotek and upload files to supplier ftp sites (printers [LSI], typesetters [Newgen], digital platforms [PPSO]) as necessary.
  • Maintain electronic work list of monthly titles due to print and digital distribution.
  • Update and maintain the print runs report, capturing actual print runs against each title.
  • Monitor the team email account (pp-production), responding to routine enquiries and passing information requests to colleagues as appropriate.
  • Check BUP content rendered on Policy Press Scholarship Online (PPSO) has been converted accurately and is therefore displaying correctly. Report errors to Oxford University Press (the supplier) to resolve.
  • Provide routine clerical support to the production team including minuting meetings, photocopying, printing out documents, filing, scanning, typing up notes, sending packages, emailing documents to external contacts and record keeping.

You should apply if

  • Previous experience of working in a related administrative role.
  • Good organisational skills.
  • Proven ability to work to deadlines.
  • Excellent attention to detail.
  • High standard of literacy (in particular, grammar, punctuation, and spelling) and numeracy.
  • Proficiency in Microsoft Office, e-mail and the web.
  • Experience of using database systems.
