Full-Time Finance and Operations Director

Job Description

Born out of a tragic school shooting, March For Our Lives (MFOL) is a courageous youth-led movement dedicated to promoting civic engagement, education, and direct action by youth to eliminate the epidemic of gun violence. In 2018, the March For Our Lives was the single largest youth-led protest since the Vietnam War, with 1.2 million people convening in DC and 800 sibling marches worldwide. MFOL turned a moment into a movement of hundreds of thousands of young people fighting for common sense gun safety reform.

In the past five years, MFOL has passed 60+ gun safety laws at the state level, helped secure the first federal legislation on guns in more than 30 years after a historic second march in 2022, lobbied in the courts to maintain gun violence prevention laws, and turned out hundreds of thousands of young people to vote.

POSITION TITLE: Finance and Operations Director

REPORTS DIRECTLY TO: Executive Director

DIRECT REPORTS: None at this time

LOCATION: Remote with a preference for commutable distance to New York

WORK SCHEDULE: Full-time

CLASSIFICATION: Exempt Employee

SALARY: Commensurate with experience. Target $100,000 – $120,000

Reporting to the Executive Director, the Finance and Operations Director coordinates all financial, operational, and technical operations. The implementation of the financial vision of the organization will be a collaborative effort between the Finance and Operations Director and Executive Director. The Finance and Operations Director’s responsibility includes overseeing AP/AR, payroll, organizational and project budgets, grants accounting, insurance coverage, investment, and banking relationships. Additionally, the Finance and Operations Director will provide guidance, training, and mentorship to the organization on finance policies and processes.

Finance Responsibilities:

  • Oversee day-to-day finance operations to ensure accurate function; this includes monthly and financial close of accounts payable and receivable, general ledger, prepaid, credit card and bank reconciliations, staff expense reimbursements, and restricted grant tracking
  • Experience working and collaborating with the development/fundraising team and institutional donors (foundations), with the ability and flexibility to provide rapid request turnaround
  • Maintain a system of accounts and keep records of all transactions and assets
  • Manage the annual budget creation and prepare quarterly year-to-date reports for Board and executive level management.
  • Prepare and analyze accurate monthly financial and management reports, including income statement, balance sheet, budget and variance, projections and forecast, and cash flow
  • Present monthly financial reports and summaries to the Board of Directors and Executive Director
  • Interpret complex financial information and provide the management team updates and information as needed; make financial information easily digestible and accessible to the staff and board
  • Collaborate with the HR Manager and assign jobs relevant to accounts payable, accounts receivable and other finance functions
  • Support the Development team in preparing funding proposals by assisting with budget preparation, reviewing proposals, and providing supporting financial documents
  • Assist in the management of grants reporting, compliance, and reconciliation
  • Ensure that all financial transactions are processed accurately, promptly, and following generally accepted accounting principles
  • Receive, document, and manage deposits for all incoming revenue
  • Review month-end closing statements and make transactional adjustments as needed
  • Ensure the reliability of accounting software, oversee user permissions, and resolve technical difficulties; boost efficiency by implementing automation in workflows
  • Maintain an orderly accounting filing system
  • Assist in coordinating the preparation of the draft audited financial statements and all tax returns
  • Coordinate the preparation of financial information in the annual report
  • Oversee state registration filings

Operational Responsibilities:

  • Under the direction of the Executive Director, maintain and develop internal procedures, policies, and protocols related to finance and accounting
  • Manage and execute contracts for outside consultants and vendors
  • Manage information technology and telecommunication functions
  • Oversee risk assessment and mitigation, including administration of corporate insurance and security
  • Maintain regular communications with the Board and manage board maintenance and record-keeping practices
  • Support Executive Director by scheduling regular Board meetings and developing slide decks, financial statements, and other materials to share with the Board of Directors
  • Maintain proper communication channels between all levels of MFOL leadership, including, but not limited to, board, staff, youth leaders, etc.
  • Coordinate with the HR manager to oversee payroll expenditures, including payroll fees and employer taxes
  • Manage and oversee MFOL’s chapter support subsidiary, the MFOL Chapter Support LLC, with financial and operations oversight

Qualifications 

  • Commitment to vigorous promotion of equity, diversity, and inclusion and demonstrated cultural competence for issues including but not limited to race, gender, sexuality, disability, religion, and class
  • Strong interest and commitment to MFOL mission
  • Bachelor’s degree in finance, accounting, business or a related field
  • Minimum of 7 years of nonprofit finance experience managing finance and accounting, ten years preferred
  • Strong preference for those with experience working with 501c3 and 501c4 organizations
  • CPA preferred
  • Proficiency with Intacct or other accounting software and excellent Excel skills
  • Experience working directly with Boards of Directors and functioning in a governance support role
  • Ability to be productive in a fast-paced environment, effectively juggle multiple projects and meet deadlines while maintaining a positive and professional attitude.
  • Strong command over written and verbal communication skills
  • Ability to work independently and effectively handle multiple competing projects with an eye on deadlines and goals
  • Collaborative and flexible team player
  • Requires flexibility of schedule to accommodate needs of the organizations that may include weekend and evening events on occasion
  • Capable leader, manager and coach for board, intern or volunteer talent
  • Detail-oriented with excellent communication, organizational, interpersonal, and writing skills
  • Experience working on remote teams, ideally in a geographically dispersed context with a high standard of excellence and accountability
