THE ROLE

Reporting to the Chief Financial Officer, the Director of Operations is a new position created to support the CFO in managing the operational and financial aspects of the organization. This role combines the responsibilities of both operations and finance, ensuring the efficient and effective management of resources. The ideal candidate will have a strong background in operations, financial management and administration, with a deep understanding of the unique challenges and dynamics of the non-profit sector and a proven ability to improve and streamline operational processes. In their first year, the person in this role will prioritize becoming an expert on Vote Solar’s internal operations processes and policies as well as our approach to grants budgeting and reporting. They will also oversee the hiring and management of an Operations Coordinator who will report to the Director of Operations.

RESPONSIBILITIES

The Director of Operations’ primary responsibilities will include, but are not limited to:

OPERATIONS MANAGEMENT (50%)

  • Develop and implement operational policies to streamline organizational processes, enhance efficiency, and support our programmatic objectives
  • In conjunction with our outsourced IT consultants, implement and maintain effective information technology systems, including standardizing software and platforms, file-sharing protocols, data management and hardware and software. Provide the first line of support for staff IT issues.
  • Ensure compliance with state and federal lobbying registration and reporting requirements, including researching state laws, training staff, tracking time and expenses and submitting timely reports
  • Oversee the entering of vendor invoices and verify staff coding of timesheets and proper credit card receipt documentation (In the first 6 months, the person in this role will be doing this work until an Operations Coordinator is hired and onboarded)
  • In coordination with the Talent + Culture team and our PEO, TriNet, work to ensure a seamless operations, benefits, and payroll experience for all team members. This will include: enter payroll, approve leave requests, liaise with TriNet on PTO changes, parental or paid medical leaves of absence, and more

FINANCIAL MANAGEMENT + GRANTS REPORTING (25%)

  • Manage monthly grant budgets to actual tracking
  • Manage day-to-day relationship with the fiscal sponsor of Vote Solar Action Fund, Vote Solar’s related 501(c)4 organization, including processing contracts and invoices
  • Ensure accurate and timely preparation of financial reports for grantors, in compliance with their specific reporting guidelines
  • Collaborate with Programs staff to gather relevant data in order to support the CFO in creating grant budgets
  • Conduct monthly reconciliations between finance and philanthropy databases

PEOPLE AND CHANGE MANAGEMENT (20%)

  • Develop the Operations Coordinator with Vote Solar’s Manager Vision of Excellence and Values front and center
  • Cultivate a team environment of belonging, psychological safety and connection where staff thrive both personally and professionally within a multi-racial organization
  • Create strategies, give good advice, and apply energy to successful change management in service of enhancing operational efficiency and improving staff experience
  • Foster a culture of continuous improvement, inclusivity, and collaboration to achieve lasting organizational success
  • Set measurable and achievable goals and continuously monitor progress

REQUIREMENTS

WHAT YOU’VE ACCOMPLISHED

  • 7+years of progressive experience in operations, ideally within a mid-sized non-profit organization
  • Demonstrated ability to develop and implement policies and procedures that drive operational efficiency and effectiveness
  • Sufficient IT and/or project management experience to effectively partner with outsourced IT consultants
  • Experience migrating systems, tools, or processes with a strong change management lens
  • Strong working proficiency with Google Workspace and MS Office
  • Strong understanding of financial systems, budgeting, and reporting, ensuring effective oversight and management of financial resources
  • Excellent analytical, research, problem-solving, and decision-making skills
  • Demonstrated leadership and interpersonal skills, with the ability to collaborate and communicate effectively with stakeholders at all levels
  • Exceptional attention to detail

OTHER THINGS YOU MIGHT HAVE ACCOMPLISHED OR WOULD BE EXCITED TO LEARN HERE

  • Deep understanding of the unique challenges and dynamics of the non-profit sector including grants management and best practices
  • Ability  to provide the first line of support for staff IT issues
  • Supervisory experience within a dynamic team
  • Experience in high level organizational budgeting practices and processes, including audit preparation and fieldwork and budget forecasting and revision
  • Familiarity with Quickbooks or NetSuite accounting software

LOCATION

This is a remote position within the United States, with a preference for candidates based near a transportation hub. This position will require some national travel (one to three trips per year, typically for team or organization retreats.) Workplace arrangements are flexible, including options to work from a co-working space or work from home.

SALARY AND BENEFITS

The salary range for this position is $102,000 – $107,000. At Vote Solar, we work hard to ensure that our compensation is equitable internally and aligned with our compensation philosophy and defined job levels. In order to ensure equitable compensation across roles in the organization, all offers are made within our posted salary range for the role and we do not negotiate new hire offers.

Vote Solar provides full-time staff with a competitive package, including 4 weeks of paid vacation, 12 days of sick leave, 4 days of personal leave and 16 paid holidays, including the last 5 business days of December. We also offer 100% employer-provided health, dental and vision care for both the employee and dependents; a retirement savings plan with an employer contribution of 3.5%; and a paid parental and medical leave policy for all regular employees.
