Job Description:
The Office Specialist, Business Services is directly accountable to the Executive Director of Finance & Accounting for the following duties and responsibilities:
- Maintain daily log for incoming checks, stamp each check for deposit only, and provide checks to the Business Office to be cashiered and deposited.
- Prepare Graphic Services monthly service billing and other invoices.
- Verify check register with accounts payable check list.
- Assist with travel and p-card processing in Chrome River.
- Reconcile completed Purchasing Card transactions to the monthly statement and maintain appropriate filing system.
- Provide administrative support to include official correspondence, requisitions, and invoicing.
- Stock and maintain necessary office supplies and forms.
- Maintain routine and confidential filing system.
- Scan items – journal vouchers, bank reconciliation, etc.
- Download various reports from Banner for bank reconciliation process and grants.
- Follow up on outstanding checks and do annual unclaimed property process.
- Greet and assist visitors to Building 400, Room 230.
- Distribute office mail.
- Work with Accountants on special projects assigned.
- Complete annual mandatory compliance training.
- Perform other duties as assigned.

Requirements:
- High school diploma or equivalent required; Associates degree preferred.
- One (1) year of experience in business or in an educational environment.
- General knowledge of office procedures.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) required.
- Excellent verbal and written communication skills required.
- Skilled in telephone etiquette with excellent customer service techniques.
- Strong interpersonal and organizational skills.
