STAFF VACANCY

Brescia University College campus is situated on the traditional lands of the Anishinaabeg, Haundenosaunee, Lūnaapéewak and Chonnonton Nations. This territory falls under the London Township Treaty and Sombra Treaty 1796, and the Dish with One Spoon Wampum. Brescia University College accepts responsibility as a public institution to contribute toward revealing and correcting miseducation as well as renewing respectful relationships with Indigenous Communities through teaching, research, and community service.

Brescia is currently seeking an experienced and dynamic individual to fill two positions as:

Enrollment Services Assistant, The Hive, Registrar’s Office
(Temporary Fulltime Contract, 40 hours/week)
(May 2023 – April 2024)
Salary Grade 5 – $26.29 pr hour

Reporting to the Registrar, this position will be a core position in supporting Brescia’s integrated office of student experience, The Hive. This position will respond to all student inquiries in areas such as academic questions, academic accommodation, add/drop, forms submission and verification letters, fee payments, OSAP inquiries, student programming questions and registration. This is an in-person position, the candidate is required to work on campus Monday-Friday.

Key Duties and Responsibilities:

Enrollment Services and Academic Support

  • Respond to general inquiries from students, faculty and visitors received by phone, email or in person.
  • Awareness of important dates, deadlines, and policies to accurately respond to various student inquiries throughout the student life cycle is a key element of this position.
  • Monitor the general brescia @uwo email address, directly responding to or triaging the inquiry as need
  • Provide information and interpret various academic policies and university regulation
  • Provide advice to students on Add/Drop questions, determination of degree options dependent on courses taken and advise on documentation required to support academic requests.
  • Review academic seals and/or comments to support online registration (add/drop).

Financial Resources

  • Access student account information and accept payments for all student and ancillary related fees and provide reconciliations to the Brescia Financial Services Of
  • Provide background information for OSAP inquiries; assist with trouble shooting on accounts, and identify documentation needs or holds within the application proces
  • Share information on scholarship and bursary programs to assist with financial plannin
  • Provide a reconciliation of all funds taken as requested by the finance office – dates and regularity will differ depending on the student cycle and type of payment (i., tuition, parking, lab fees, daily parking passes).

Program Referrals

  • Triage and book career appointments for the Student Life Center and determine when to book a counselling appointment versus refer to programming options or available Brescia resources (online or otherwise).
  • Triage and book academic advising appointments as required and manage online Booked In appointment management syste
  • Identify when OSAP/Financial Aid/Scholarship and Bursary inquiries are elevated concerns, and triage and book with Financial Aid Officer appropriate
  • Broad understanding of Brescia’s non-academic programming to provide referrals based on student needs; this may include (but not limited to) Student Life, Residence, Internation

Communications and Official Documentation

  • Determine student facing communications as needed, via social media, poster, or internal message; crafting the information and distributing to the appropriate audience; managing and updating the Hive and Academics pages of the Brescia website.
  • Responsible for review and creating letters of verification, as requested per the provided template.

Letters require review of academic record, academic files in order to pull out key information.

  • Identify training gaps and ensure information is shared with the Registrar.
  • Support new Hive staff as needed, sharing of documentation/notes, providing firsthand training while collaborating with new team member.

REQUIREMENTS OF THE ROLE INCLUDE:

  • Undergraduate degree
  • Minimum two to three years experience within a customer service focused environment
  • Requires a high level of understanding of the student life cycle, normally either obtained through personal experience or working within a university environment.
  • Exceptional interpersonal and organizational skills, proficiency with various computer programs (including PeopleSoft) and good judgment skills are key to success in this position.
  • The ability to work within a team as well as demonstrating initiative and accountability for individual responsibilities is essential.
