Festival Programming

This position works closely with the Senior Manager, Festival Programming and Director, Festival Programming and Cinematheque on the overall planning, programming administration and programming operations of the Toronto International Film Festival and other year-round departmental programming initiatives. Key responsibilities of this role include leading the administration of the film and guest invitation process, supporting programming execution, budget tracking and the scheduling process. This position supervises full time, seasonal and independent contractor staff as applicable. This role does not include regional or section programming slots or responsibilities.

RESPONSIBILITIES:

OPERATIONS AND STAFFING

  • Create, update and distribute contracts and consulting agreements for Independent Contractors
  • Manage and evaluate Festival Programming Associates and Pre-screeners
  • Oversee Festival Programming’s stake in Submissions rules and processes, and advise on any changes as needed;
  • Department critical path administration 
  • Oversee, including any relevant hiring and on-boarding, as well as regular check-ins, performance assessments and career conversations, as relevant, for independent contractor staff;
  • Assist the department with other administrative work, as necessary.
  • Monitor and manage department budget related to IC programmers and seasonal hires

FESTIVAL PROGRAMMING 

  • Film tracking and solicitation including researching films; creating and maintaining shared film tracking sheets for major virtual festivals and markets attended by Festival Programmers; and directing data entry into Artifax
  • Liaise with a designated group of external film stakeholders including National Agencies, International Sales Agents and Distributors, Filmmakers, etc. re: film submissions, and selection status
  • Contribute to the TIFF digital Festival experience, through industry tracking and research, stakeholder discussions, and ideation with internal teams, when necessary 
  • Manage the Festival preview screening schedule with the Executive Coordinators, including prioritizing and assigning individuals/committees to preview recommended films;
  • Update materials for Festival Prog List/Big Film meetings;
  • Prescreen films and provide notes as part of different selection committees as directed;
  • Manage the department Festival ticketing inventory and allocations, in collaboration with Industry;
  • Vet solicited international feature reject letters;
  • Oversee Intro and Q&A schedule logistics including stage remarks 
  • Develop and manage workflow to ensure the timely delivery of Festival programme notes, pitches and any relevant programmer deliverables (i.e. Prog List Checklist Meetings) for Production;
  • Represent Festival Programming at Production Meetings, relevant Working Group meetings and at internal meetings, as required;
  • Assist Director, Festival Programming and Cinematheque with maintenance of the Festival guest budget in conjunction with Film Office & Event Production when relevant;
  • Write programme notes, as directed;
  • Schedule the Festival’s in-person and digital official selection film schedule, in discussion with the Senior Manager, Festival Programming and Director Festival Programming and Cinematheque
  • Promote the Festival Programme to internal and external TIFF stakeholders;
  • Introduce screenings and moderate extended Q&As, both in person and digitally, as required;
  • Attend meetings, events, film festivals, virtual film festivals and markets as required;
  • Consult and assist on Short Cuts programming for Festival, 
  • Support A&C in stakeholder outreach for TIFF Next Wave Film Festival and sub-selection

ADMINISTRATION AND STAFFING

  • Train pre-screeners in qualitative film feedback process with regular quality assurance check-ins 
  • In collaboration with Manager, Submissions and Operations, oversee Festival Programming’s stake in Submissions rules and processes, and advise on any changes as needed;
  • Manage department critical path administration in collaboration with Manager, Submissions and (as directed)
  • Oversee hiring and on-boarding, and staff supervision including regular check-ins, performance assessments and career conversations, as relevant, for full time reports as well as  independent contractor staff;
  • Assist the department with other administrative work, as necessary.
  • Manage and track department budget related to IC programmers, seasonal hires as well as artist fees related to special projects in the department’s year-round programming
  • Lead administrator of the official selection film and guest invitation process and manage applicable seasonal coordinators accordingly 
  • Lead administration of film tracking and solicitation including researching films; creating and maintaining shared film tracking sheets for major virtual festivals and markets attended by Festival Programmers; and directing data entry into Artifax

JOB GRADE & SALARY

  • Job Grade 3
  • $60,000-75,000/annually

MINIMUM REQUIREMENTS:

  • Demonstrated passion for film and cinema culture;
  • 5+ years of work experience in arts and culture administration;
  • 3+ years experience managing multiple staff reports;
  • Proven ability to provide high quality work within strict deadlines;
  • Excellent organizational skills and a keen eye for detail; 
  • Precise memory for names, positions, companies and situations;
  • Mature personal judgment, exhibiting a high level of professionalism and diplomacy;
  • Able to handle difficult situations and people with aplomb and grace;
  • Excellent phone manner, communication fluency and interpersonal strengths;
  • Proficiency with computers and applications (including Microsoft Office Suite, relational databases and the Google environment);
  • Ability to work both independently and in a team environment; 
  • Desire and ability to take initiative and manage projects;
  • Ability to work and respond well in fast-paced and high pressure environments with a flexible schedule, including some evenings and weekends;
  • Verbal and written fluency in French or a second language considered an asset.

Position requires being adaptable to a flexible work schedule including some evenings and weekends especially during the eight weeks before and during the Festival. This position also requires being located in the GTA and working onsite at the TIFF Bell Lightbox Festival Programming offices at several key periods throughout the year. Expected to attend in person meetings and work in the office as needed.
