Full-Time Inventory Assistant

SALARY LEVEL: Grade 17

REPORTS TO: Inventory Manager

AREA OF FOCUS: Energy Services

JOB SUMMARY: Completes ordering and receiving of materials for Energy Services programs, disburses materials, maintains their security, retains a system of inventory control; and assists with reporting jobs to the State. The employee is expected to exercise judgment in unusual situations. Accuracy and confidentiality is a necessity.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

  • Supports and upholds Couleecap’s mission to fight poverty and promote self-sufficiency for individuals by helping to identify needs, mobilize resources, and provide quality services.
  • Orders, receives and secures materials for the Energy Services programs using a purchase order system.
  • Works on a daily basis with weatherization crews to coordinate work orders, in & out paperwork, and distribution and return of materials.
  • Closes out purchase orders and preparing them to be paid by finance staff.
    Stocks and issues materials and/or merchandise. Maintains security and cleanliness of warehouse.
  • Conducts scheduled inventory for both materials and tools to account for deliveries and disbursements.
  • Updates Safety Data Sheets for Energy Services Department.
  • Orders, tracks and reports invoicing for subcontractor work per work order.
  • Verifies and adjusts clerical computations against job cost report.
  • Assists with preparing lists of depleted inventory items and recommending survey of defective or unusable items.
  • Attends meetings and trainings as required.
  • Provide clerical services and other related work, as required.

SUPERVISORY RESPONSIBILITIES: None.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Requires two years of education beyond high school: junior college, community college, or university; or completion of three to four years’ previous experience; or equivalent combination of education and experience.

LANGUAGE SKILLS: Ability to read & interpret documents such as safety rules, operating & maintenance instructions, and procedure manuals. Ability to write simple correspondence. Ability to effectively present information one-on-one to low-income clients, sub-contractors, staff and vendors.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must be accurate with details.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS: Access to reliable, licensed, insured driver and transportation.

OTHER SKILLS and ABILITIES: Considerable experience with Microsoft Word, Excel and Outlook required. Knowledge of materials used in building construction and furnace operation preferred. Good knowledge of the problems created by poverty. Stability; reliability; patience; good judgment; flexibility; bookkeeping; computer experience. Ability to work four 10-hour days (Monday through Thursday 7am to 5:30pm) and provide assistance and direction to approximately 12 co-workers (Lead Energy Solutions Technician, workers, auditors, etc.) on a daily basis in a warehouse setting.

While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, extreme cold and extreme heat. Exposure to cellulose, fiberglass and other building materials is frequent. The noise level in the work environment is usually moderate.
