Executive & Partnerships Coordinator
Reporting to the Vice President, Partnerships, this role supports the Vice President and department, which is composed of four units: New Business Development, Account Management, Hospitality and Event Partnerships. This role is the first point of contact for the Vice President, Partnerships and will provide administrative support with primary responsibility for coordinating schedules / meetings, drafting reports, research and correspondence as well as providing general admin and support to the larger Partnerships team for select accounts.
RESPONSIBILITIES:

For Partnerships Team:
- Manage administrative responsibilities including meeting scheduling, drafting meeting materials and agendas, note taking, submitting and tracking POs, invoicing
- Supporting the planning and management of strategic departmental initiatives
- Conducting research and providing reports with analysis
- Developing internal and partner-facing reports and decks
- Drafting departmental SOPs, partner guidance docs and materials
- Tracking key monthly metrics in departmental dashboard
- Managing databases and ensuring CRM, revenue buildups and other key documents are kept up to date
- Support contract administration
- Liaise within department and across organization to traffic assets and information in a timely manner
- Planning departmental social events and training sessions
- Supporting the planning of partner and New Business events
- Attending TIFF events, Festival and other key stakeholder meetings as required
- Other tasks as required
For Vice President, Partnerships:
- Perform general office duties: booking / coordinating meetings, minutes, maintenance of files, couriers, purchase orders and expense reports, all working with department heads.
- Conduct research and support the development of reports, presentations and dashboards.
- Support the planning and management of strategic initiatives
- Write speaking remarks, intros/ Q&A notes and correspondence.
- Schedule and prepare meetings with external industry and press, business leaders, board members, prospects and executives
- Coordination and Management of daily schedules including providing meeting briefs.
- Coordination of all business-related travel and accommodation
- Drafting and sending correspondence
- Track and submit VP’s expenses and assist with developing budget buildups
- Perform some personal assistant duties as requested.
JOB GRADE & SALARY:
- Job Grade 2
- $50,000 -65,000/ Annually
CONTRACT DATES OR START DATE:
- December 12, 2022 or as available
MINIMUM REQUIREMENTS:
- Post-secondary degree / diploma preferred
- Experience with corporate marketing or sales preferred
- Independent self-starter who can work in a team environment and possess strong project management ability with attention to deadlines and detail.
- Pleasant phone manner and precise memory for names, positions and situations.
- Communication fluency, organization skills, a keen eye for detail, concise and accurate taking of minutes, and the ability to draft and write correspondence, all with impeccable grammar, spelling and proofreading.
- Maintain diplomacy and confidentiality while being able to handle emergencies, difficult situations and people professionally and calmly.
- Strong computer skills particularly with Google docs, Google workspace, Word, Excel and PowerPoint.
- Proven ability to work and respond well in fast-paced environments for long hours during peak times of the year.
- Ability to use mature personal judgement to manage conflicting priorities.
- Adaptable to a flexible work schedule including some evenings.
