Festival Programming

The Manager, Festival Programming (Submissions) is responsible for managing the  administrative processes to both internal and external stakeholders in managing and coordinating film submissions for festivals and related administrative programming support. This position supervises applicable seasonal Festival Programming staff.   Key responsibilities include: managing film submissions process and operations; managing official film and guest invitations process; support on Juries and Awards; supporting the Festival schedule process including related deliverables; and overall facilitation of synergy between programming initiatives and programming operations. This position will manage seasonal Festival Programming staff and independent contractors as required. 

RESPONSIBILITIES:

Festival Submissions:

  • Lead policy and project planning sessions pertaining to Festival submissions
  • Manage film submissions policy and operations including oversight of administrative programming support and adherence to internal and external submissions related deadlines
  • Evaluate efficiency and effectiveness of each submissions season during the postmortem
  • Oversee all film submissions, rejection letters, and related administrative programming support for festivals to ensure exceptional service to both internal and external stakeholders 
  • Oversee the collection of all Festival film-related statistics and information across TIFF’s external reporting 
  • Lead the continuous improvement of data collection, and analysis to enable strategy and benchmarking for Programming initiatives including the design, and analyzing results of the Filmmakers Survey

Festival Invitations:

  • Manage the Festival Invitations and Guest Invitations process and portfolio including invitations package components, documentation (i.e. Terms and Conditions), templates, tracking sheets and Artifax updates
  • Develop the Invitations Package components that align with strategic priorities, and TIFF’s cross-departmental interests

Festival Scheduling:

  • Support the Festival schedule processes in terms of conflict checks, data entry, proofing, Artifax updates, including the management of Festival Schedule change notifications, and online and print presentation for the public and Press & Industry
  • In collaboration with Industry,  support on digital screening permissions tracking

Film Presentation and Stakeholder Relations

  • Oversee the film tagging process (executed by seasonal submissions assistant) 
  • In collaboration with Senior Manager, Festival Programming and other internal stakeholders provide administrative support for Canada’s Top Ten: planning contra events, workback creation, sending invitations and Artifax entry  
  • Serve as FIAPF liaison, ensuring compliance with FIAPF regulations and obligations
  • Oversee the Filmmaker Survey and Insider’s Event deliverables (executed by seasonal submissions assistant)
  • Manage logistics related to Festival Stage Remarks

Staffing:

  • Hire, onboard, train and supervise applicable full-time/seasonal staff and contractors including recruiting, goal setting, coaching, performance management

Jury and Awards:

  • Manage seasonal coordinators on juries and awards including oversight of related coordination, eligibility rules and processes

Other:

  • Supervise applicable staff including assignments, goal setting, and performance reviews
  • Liaise and manage relationships with internal teams and external stakeholders to ensure unified approach to programming presentation and operations
  • Proof/audit all relevant film materials and information within official TIFF publications (both print and digital)
  • Prepare reports, data analysis, and research as required
  • Represent department at applicable meetings e.g. Production
  • Other related duties as required and assigned

JOB GRADE & SALARY:

  • Job Grade: 3
  • $60,000 – 75,000/Annually

MINIMUM REQUIREMENTS:

  • Demonstrated passion for film and cinema culture with experience in film festival environment an asset 
  • 3+ years experience working in arts and culture management or administration
  • 2+ years experience managing staff and ability to lead and give direction effectively
  • Knowledge of contemporary film programming and related industries an asset 
  • Strong organizational and project management skills with extreme attention to detail, timelines and objectives and ability to prioritize
  • Precise memory for names, positions, companies and situations
  • Minimum college diploma, university or equivalent work experience
  • Minimum 2 years experience in project and administration coordination
  • Experience overseeing a team 
  • Experience working at a cultural institution or festival environment an asset
  • Professional manner and “can-do” attitude, with ability to think on feet and adapt quickly to change
  • Excel in a fast paced work environment with competing priorities
  • Strong research skills and ongoing awareness of industry trends
  • Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
  • Ability to manage emergencies, difficult situations and people with calmness
  • Additional language(s) spoken would be an asset
  • adaptable to a flexible work schedule including some evenings and weekends
  • This position requires being in office on a regular basis.
