Full-Time Space Planning Coordinator – SPACE002398

Job Description

Hourly range is $16.82 to $36.05, with a midpoint of $26.44.  New hires typically receive between minimum and midpoint, however, we may go slightly higher based on experience, internal equity and market.

GENERAL PURPOSE: 

Under general direction, performs the full range of professional, administrative, and project coordination duties in support of space planning for the Agency; participates in the development, implementation, and administration of space planning needs necessary to provide space where Sound Transit staff can be highly productive; participates in monitoring and project area policy and procedure development and implementation; provides analysis, and other analytical support to assigned project or project area; coordinates communication and work activities among Agency staff, contractors, local jurisdictions, and business groups during the various phases of assigned project; and performs a variety of duties relative to space planning.

ESSENTIAL FUNCTIONS:

The following duties are a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

• Collaborates with representatives throughout the Agency to monitor and maintain workstation assignments, floor plans, and anticipated occupancy rates; contributes to and participates in occupancy planning projections and development of options related to staff growth and special facility requirements. Maintains information in iOffice or similar space management software.

• Assists with the management and execution of office relocation efforts.

• Collaborates with Agency staff and contractors to ensure tenant improvement projects are completed per scope, schedule and budget; coordinates and oversees furniture placement and office move activities.

• Provides AutoCAD support in the preparation of construction drawings for Tenant Improvement projects.

• Supports space planning team and Property Management with locating office space and assisting in the design of necessary Tenant Improvements.

• Assists project managers working with contractors to ensure tenant improvement projects are completed per scope, schedule and budget.

• Coordinates and keeps current, the Division’s work plan including location and services data, contractors’ scope of services and performance evaluations, and CAD files and photos.

• Supports the development and maintenance of the Division’s policy, procedures, working files, and file management, and ensure practices are interpreted and applied consistently and effectively.

• Orders and maintains the Agency’s surplus furniture.

• Manages the repair or replacement of furniture under warranty.

• Maintains awareness of new trends and developments in the fields related to area of space planning; incorporates new developments as appropriate.

• Champions and models Sound Transit’s core values and demonstrates values-based behaviors in everyday interactions across the agency.

• Contributes to a culture of diversity, equity and inclusion in alignment with Sound Transit’s Equity & Inclusion Policy.

MINIMUM QUALIFICATIONS:

Education and Experience:

High school diploma/GED or technical school certification in drafting, design technology, architecture, project management, or closely related field. Two years of experience in performing project coordination and research work that involves the use of AutoCAD and reading plans, and space planning coordination and monitoring; OR an equivalent combination of education and experience.

Required Licenses or Certifications:

Valid state driver’s license.

Required Knowledge and Skills:

• Project coordination skills in scheduling, organizing, planning and implementing work programs with limited scope; ability to manage multiple tasks, set objectives/goals and re-prioritize as needed.

• Understanding methods and techniques of using AutoCAD, computerized maintenance management system, and other facilities system software.

• Understanding of construction and facility terminology.

• Understanding of iOffice or similar space management software.

• Administrative support skills.

• Interacting with other departments, agencies, municipalities, vendors, and the public.

• Principles and practices of program/project development and administration.

• Pertinent federal, state, and local laws, codes, and regulations.

• Methods and techniques of basic report preparation, data collection and analysis of relevant information.

• Basic principles and practices of budget monitoring and administration.

• Basic project management techniques and principles.

• Techniques to work effectively under pressure, meet deadlines, and adjust to changing priorities.

• Principles of business letter writing and basic report preparation.

• English usage, spelling, grammar, and punctuation.

• Modern office procedures, methods, and equipment including computers and computer applications such as word processing, spreadsheets, and statistical databases.

• Articulating technical and/or design changes in CADD.

• Using a computerized maintenance management system.

• Using a computerized space management system.

• Utilizing personal computer software programs affecting assigned work and in compiling and preparing spreadsheets and reports.

• Experience in managing and coordinating moves in a Commercial Office Environment.

• Establishing and maintaining effective working relationships with other department staff, management, vendors, outside agencies, community groups and the general public. Interpreting and administering policies and procedures sufficient to administer, discuss, resolve, and explain them to staff and other constituencies.

• Interpreting and applying applicable federal, state, and local policies, laws, and regulations.

• Understanding and interpreting contracts.

• Reading and interpreting design and construction drawings relative to the development of maintenance plans, scope of work and cost estimating.

• Coordinating and tracking multiple maintenance work orders.

• Attention to detail while maintaining a positive customer orientation toward internal and external customers.

• Assisting in the development and maintenance of project schedules, processes, checklists, timelines and other methods for organizing and coordinating work on a variety of maintenance tasks.

• Responding to inquiries and in effective oral and written communication.

• Researching, analyzing, and evaluating new service delivery methods and techniques.

• Applying project management and program development techniques and principles.

• Working cooperatively with other departments, Agency officials, and outside agencies.

Physical Demands / Work Environment:  

• Work is performed in a standard office environment.

• Subject to standing, walking, bending, reaching, stooping, and lifting of objects up to 25 pounds; may occasionally be exposed to dangerous machinery, extreme weather conditions, physical harm, and extreme noise when conducting site visits and working in the field.
