Position Summary
The Private Events Manager will be responsible for servicing (from inquiry to execution to settlement), all Strathmore private events, across our three venues with a goal of maximizing revenue while providing an exemplary experience for our private event clients and their guests. This goal will be achieved through oversight of the Private Events Coordinator, the Exhibitions and Private Events Administrator as well as a team of House Managers. The position will be expected to track and report key performance indicators, maintain awareness of market trends, develop private event guidelines and procedures, communicate effectively with clients and prospective clients, and identify promotional opportunities and new revenue streams. The position reports directly to the Director of Venue Rentals and Operations.
Work Schedule
Work of this exempt position will be accomplished during both weekday and weekend hours as needed to support the Private Events division. This includes evening, weekend, and holiday hours to support events, hours in which client tours are needed, and routine monthly Saturday staffing coverage. As most of the work for this position is programmatic and engagement based, most hours are expected to occur on-site however, there will be the occasional opportunity for remote work. The Strathmore administrative office hours are Monday through Friday, 9am until 5pm.
Typical Examples of the Position’s Responsibilities and Duties
- Drive private events sales throughout the early lifecycle of an event by conducting tours and client walkthroughs, capturing early event information, following up as needed, and moving an event through the contracting phase
- Build, track, and manage a division budget with expectations of consistent profitability
- Supervise and manage the administrative documentation of an event such as contracts, floor plans, invoices, insurance certificates, etc.
- Maintain accurate event information and disseminate it to all pertinent team members through a centralized event management software.
- Provide strong client-facing involvement from inquiry to event execution
- Foster positive relationships with a variety of vendors in the events industry (photographers, DJs, musicians, florists, event planners).
- Maintain client continuity through initial in-person support at events (requires night and/or weekend commitment).
- Recruit and train staff in excellent customer service, event planning and execution, and policies and procedures to ensure quality service delivery in each of our venues.
- Collaborate with Marketing Department to help determine strategies for attracting and capturing increased private event sales.
- Attend industry networking events to represent Strathmore in the private events industry to assess ways to improve our process and increase sales.
- Update spreadsheets for past and upcoming events for analysis and reporting.
- Conduct regular Private Events meetings and provide stats/reports as needed.
- Oversee collaboration between departments to ensure full operational event support.
- Other duties as assigned.

Qualifications/Experience
- Proven experience facilitating successful private and/or public events
- Experience with budgeting operational expenses of an event or venue
- Experience working successfully in a group/collaborative environment
- Dependability and reliability, especially when managing events on evenings and weekends
- Working knowledge Microsoft Office Suite is required, experience with Event Booking is preferred.
- Bachelor’s degree or commensurate experience with leadership and execution of public and private events
- Must be able to lift 20lbs
Compensation and Benefits
This is a full-time, exempt position. Salary is commensurate with experience. Excellent health, dental, vision and retirement plans offered.
