Full-Time Director of Operations

Reports to:  Chief Executive Officer (CEO)

POSITION SUMMARY:

As a member of the Leadership Team, the Director of Administration and Operations increases and sustains operational capabilities that facilitate the delivery of critical grief resources to grieving children and families in Colorado and beyond. Reporting directly to the CEO, the Director leads the internal operations of the organization, overseeing finance, administration, human resources (HR), information technology (IT), and facilities maintenance. In partnership with the Leadership Team, the Director evaluates organizational resources and structure to ensure alignment with strategic initiatives and goals.

The Director is a seasoned strategic professional with a balance of process and action-oriented perspectives. They excel in time, resource, project, and change management skills and strive for continual improvement. An established leader, they support diverse teams of talented individuals in developing a service-oriented culture that facilitates accountability through measurable, cost-effective results while honoring the creative and compassionate spirit that drives the organization.

REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES SOUGHT:

  • Minimum of five years of professional experience managing the operations of a high-achieving organization.
  • High level of business acumen and broad experience with a range of business functions and systems, including budgeting, business analysis, finance, information systems, human resources, facility management, sustainability, and strategic planning.
  • Experience in planning and managing organizational change and growth by preparing, equipping, and supporting adaptation, while establishing, analyzing, and driving successful outcomes.
  • Demonstrated record of sound decision-making.
  • Ability to guide budget process and forecasting, demonstrate astute problem solving, project management, and creative resourcefulness.
  • Technologically savvy, with experience working with Information Technology staff to strengthen system processes and increase efficiency.
  • Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team.
  • Capacity to cultivate accountability and entrepreneurship, develop and empower top-notch leaders from the bottom up, and learn the strengths and weaknesses of the team so as to put people in a position to succeed.
  • Experience successfully collaborating with diverse stakeholders such as board members, vendors, and interagency departments.
  • Proven ability to manage and resolve conflict to enhance learning and outcomes.
  • Strong verbal, interpersonal, and written communication skills.
  • Enjoys working hard and looks for challenges.
  • Flexible and a self-starter; able to multi-task while also being highly detail-oriented.
  • Ability to work independently and manage time effectively.

EDUCATION OR FORMAL TRAINING:

  • Bachelor’s degree required; Master’s degree in business, finance, or health administration preferred.

ESSENTIAL DUTIES/RESPONSIBILITIES:

  • Oversee internal operations in partnership with organizational Leadership Team.
  • Play a lead role in the development and growth of new initiatives and organizational change management.
  • Ensure sustainable structures supporting the organization’s long-term future.
  • Contribute to a culture that centers Justice, Equity, Diversity, and Inclusion.
  • Provide direction and support to the technology team by supervising the Information Technology Manager.
  • Oversee the management of the organization’s physical infrastructure, physical space, and system maintenance.
  • Direct facility daily operations by providing support and supervision to the Office Manager.
  • Oversee and support enhancements to the human resources functions such as compensation/benefits, recruitment, employee satisfaction, and training.
  • Lead the performance management process that measures and evaluates progress against goals for employees, departments, and the organization.
  • Direct the accounting system providing the organization with quick access to financial information and enabling strategic budgeting.
  • Lead the financial, budgeting, and administrative processes’including HR, payroll, and benefits functions’with an eye to continuously develop and improve systems.
  • Review and approve the monthly and annual financial reporting materials and metrics for Judi’s House Finance Committee and Board of Directors.
  • Manage budgeting, financial forecasting, and cash flow for administration, existing programs, and proposed new growth opportunities.
  • Present to the Board of Directors at quarterly meetings and serve on relevant board committees.

OTHER DUTIES/RESPONSIBILITIES:

  • Cultivate the values of JH/JAG throughout the organization.
  • Attend team and organizational meetings, activities, and events as required.
  • Collaborate with Judi’s House staff and perform job duties to advance the organization’s mission and vision.
  • Demonstrate ability to work independently and within a team and seek guidance as appropriate.
  • Demonstrate ability to prioritize, attend to, and complete multiple tasks efficiently and effectively.
  • Comply with all organizational policies and procedures.

SUPERVISORY DUTIES:

  • Oversee all aspects of operations, administration, technology, finance and HR for Judi’s House/JAG Institute, with direct and indirect reporting from key staff within each of these areas, in order to support the execution of the three core initiatives (Direct Services, Training and Education, and Evaluation and Research) in close collaboration with the CCO and CEO.

While performing the duties of this job, the employee is frequently required to sit, stand, and walk as well as bend, squat, and climb stairs.  The employee must occasionally lift and/or move up to 25 pounds.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal office conditions. The noise level in the work environment is usually quiet.

This position is eligible to work remotely up to one day per week at the manager’s discretion.

ORGANIZATION BACKGROUND:

Judi’s House/JAG Institute (JH/JAG) is the only free-standing organization in Metro Denver devoted solely to supporting grieving youth and families through comprehensive care, research, education, and advocacy. Its mission is to help children and families grieving a death find connection and healing. Since 2002, JH/JAG has supported more than 12,000 individuals, and educated many thousands more, toward the vision that no child should be alone in grief. The integration of research and practice in a community-based center has uniquely positioned JH/JAG to create social change around the issue of childhood bereavement’elevating it as a public priority and serving as a national leader in the effort to increase access to effective grief care for bereaved children and families.
