Queens Botanical Garden (QBG) is a private non-profit cultural institution located on 39 acres of New York City public land in Flushing, New York. In FY20, the Garden served 164,546 visitors, including 14,378 schoolchildren. A recently completed visitor survey reveals that 45% of visitors speak a language other than English at home. This fact underscores the importance of the mission and the challenges and opportunities QBG faces daily in creating programs, exhibits and landscapes that serve the needs of people who live in and visit one of the most ethnically diverse counties in the nation. The Garden has committed itself to addressing the complex and ever-changing needs of its diverse community and to being the place where people, plants, and cultures meet.
About This Opportunity
Reporting to the Director of Finance and Administration, the Fiscal Associate supports payroll, accounting, human resources and general administrative functions of the organization.
Major responsibilities:
Payroll
- Act as point of contact to ensure timecards are approved in a timely manner
- Ensure that the time recorded on the time cards accurately reflect the hours and leave used by the employee. Also ensuring that overtime has been prior approved per policy.
- Complete the final processing of payroll
- Assist with filing as needed
- Quarterly payroll reconciliation
- Assist with the preparation of pension and other reports as needed
Accounts Receivable
- Responsible for recording daily cash receipts from contributed, earned and other revenue sources.
- Responsible for the monthly reconciliation of Accounts Receivable accounts
- Managing Paypal, Eventbrite and Quick books
Human Resources
- Updating data in Beyond Pay as needed
- Assist with the administration of employee benefits and other human resource functions as needed.
General Administration
- Assist Accounting & Benefits Manager with general ledger transactions, as needed;
- Assist Director of Finance with financial projects, for example, uploading the annual budget to the general ledger, audit schedules, monthly rental and education deferred revenue schedules and other projects, etc., as the need arises;
- Assist the Director of Finance in ad hoc projects and analytical studies in an effort to streamline operations and generate efficiencies;
- Provide general office assistance as well as assist other departments as the need arises.
Desired Qualifications
Education:
- Bachelors (Preferred) : Associate (Required)
Experience:
- Accounts Receivable: 2 years (Preferred)
- Have in-depth knowledge of Excel and other Microsoft Office Applications.
- Knowledge of Fund-Ez and QuickBooks software are a plus.
- Be able to multi-task and prioritize; excellent attention to detail
- Ability to work independently and as part of a team
