Full-Time Warehouse Administrator
Job Description
We are currently seeking a Full-Time Warehouse Administrator to join our Toronto office team.
The successful incumbent will work closely with the Warehouse Manager and various internal departments to help ensure the warehouse is running smoothly and all inventory is where it needs to be. Day to day responsibilities include managing and keeping track of kitting projects, inventory and shipping schedules, addressing the needs of departments within the company, and making sure the work environment is clean and organized. Working in collaboration with various departments, this role will help ensure there is exceptional and effective communication in place to suppliers and clients regarding projects and delivery expectations.
Responsibilities will include, but not be limited to:
- Being the primary point of contact between the warehouse, and internal operations teams (kitting, production and sales) for custom kitting projects, using email, Teams chat and phone.
- Manage communication regarding all inbound return shipments with remote team members, to coordinate their reshipment.
- Reviewing and cleaning data files for upload into shipping software.
- Create mail merge packing slips for complex kitting orders.
- Notify project managers and coordinators of any scheduling conflicts or concerns as they arise.
- Field regular queries throughout the day from project managers and coordinators regarding ongoing status of projects, updates on stock/inventory, photos of completed kits prior to shipping, etc. and provide timely updates.
- Pulling from network drives tracking files and sharing with the required internal contacts.
- Use of Trackpad system for investigations on missing shipments inquiries
- Schedule Less Than Truckload (LTL) couriers for special projects pickup/deliveries
- Continuously look for methods to improve departmental operations and efficiencies
- Balance the demands of Genumark and Rightsleeve kitting and fulfillment needs
- Maintain lines of communication between all teams that come in contact with the Warehouse team
- Assist with staff scheduling to ensure sufficient staffing and efficient operations
- Assist with new employee onboarding and training
- Participate in the Joint Health and Safety Committee and First Aid & CPR team
- Provide support and assistance to Warehouse Manager when necessary
- Assist in the Health & Safety program by ensuring that section 27 of the Occupational Health & Safety Act (OHSA) are being followed; conduct employee training and accident investigations; coordinate Health & Safety training within the department
- May be required to perform additional and/or different responsibilities as set forth above
Minimum Requirements:
- A working knowledge of promotional /marketing field an asset.
- Minimum 2 years experience in administrative support, preferably in warehouse setting
- Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required. Ability to meet designated deadlines is also critical
- Proficient and hands on working knowledge and understanding of Microsoft Office 2013 and 2016+ software, specifically Excel, Word, and Outlook, Gsuite apps, as well as using the Internet as a research tool
- Be a very efficient communicator, working with many different internal stakeholders to relay time sensitive updates
- Excellent interpersonal and customer service skills along with demonstrated commitment to service excellence – charming not smarmy
- Work involves a high degree of accuracy and attention to detail
- Strong analytical, critical thinking skills with the ability to build processes and determine how to improve efforts
- Think “outside” the box”, be pro-active, problem solve and suggest corrective course of action
- Ability to work independently with minimal supervision as well as work collaboratively in a team environment
- Available to work extended hours
- Must have employment eligibility in Canada
Compensation: $38,000 – $41,000 annually
