We are currently hiring for the position of:

Assistant, Theatrical & Non-Theatrical

Reporting to the Senior Manager, Theatrical & Non-Theatrical, the Assistant, Theatrical and Non-Theatrical provides administrative support to the Theatrical, Non-Theatrical and Film Circuit teams in scheduling, reporting, and administrative work.

RESPONSIBILITIES:

  • Assist with scheduling New Releases for TIFF Bell Lightbox and digital TIFF Bell Lightbox weekly 
  • Audit accuracy of showtimes, titles, and dates for New Releases on website and physical displays
  • Maintain, receive, input, produce, and track box office reports
  • Ensure that all reports are received in a timely manner and filed accurately
  • Follow up and track unpaid distributor fees
  • Liaise with local Film Circuit organisers on payment and box office submissions
  • Bill print traffic charges to appropriate parties
  • Coordinate billings of Film Circuit Sustainability fee
  • Track and follow up on TIFF outstanding invoices and purchase orders
  • Maintain physical and digital files/records with a high level of accuracy
  • Collect digital promotional materials
  • Assist with guests related administration, working closely with the Film Office team on invitations, remarks, run of show, and guest communication
  • Assist with reconciliation of monthly expenses
  • Prepare Programming presentations and reports, coordinating data and content from multiple sources
  • Review and check accuracy of information in sign-off process of documents, presentations, reports etc. 
  • Attend department meetings; prepare agenda, record and distribute minutes to committee members
  • Work closely other programming teams, as needed
  • Update the Film Circuit website and regulate user roles and privileges

  • January 10, 2022

MINIMUM REQUIREMENTS:

  • Previous administrative assistant experience in a fast-paced environment
  • Tech savvy – must know MS-Office (Word, PowerPoint, advanced Excel knowledge an asset), Google apps and databases; experience with scheduling/event management software an asset
  • Strong attention to detail and adept with accounting basics
  • Reliable, results-oriented, and able to anticipate needs
  • Excellent written and verbal communication skills and willingness to work with and help others
  • Works well under pressure, must be able to prioritize and have the ability to meet deadlines with minimal supervision
  • Ability to maintain a high professional standard and have experience and a clear understanding of customer service
  • Demonstrates strong critical thinking skills, good judgement and eye towards refining procedures for efficiency
  • Quick learner and ability to understand complex business issues
  • Adaptable to a flexible work schedule, including some evenings and weekends
  • Flexible work location: physical attendance in Toronto during Festival will be required
  • Ability to communicate in French is an asset
  • Valid driver’s license is an asset
