Full-Time Office Coordinator (d/f/m)
Job Description
Ableton is growing and transforming. With over 400 employees between our two Berlin offices working in a hybrid set up, we are looking for an experienced Office Coordinator to help us rethink and reshape Ableton’s workplace services. Together with the Office Operations Team and relevant stakeholders, you will create, maintain and develop a supportive, engaging and safe physical and virtual work environment. With the improved services you create, all Abletons, external partners and visitors can experience and enjoy productivity and foster collaboration in our hybrid set up.
- Your areas of focus encompass the physical and virtual workplace, in addition to workplace services, health and safety, wellness and benefits, as well as events
- You autonomously initiate, plan, execute, monitor, evaluate and close office management projects/services within given timeframes and budgets
- You assess, track and manage project risks and manage third party dependencies with contractors, suppliers and property management. You can effectively negotiate, manage contracts and relations with these third parties
- You supervise and mentor interns and apprentices in coordination with our people manager
- You coordinate project team members as well as freelancers, if applicable, and can effectively distribute tasks among a diverse project team
- You define a stakeholder and communication plan independently and communicate according to stakeholder needs, while maintaining consistency
- You have 5+ years of professional experience preferably in office management projects, with the ability to work confidently, independently and with a service mentality
- You are a proactive team player with a collaborative and growth mindset, being open to changes ideas and feedback
- You have excellent problem-solving and negotiation skills (especially in contractual agreements and reviewing terms & conditions) paired with precise communication, both verbal and written
- You have a strong passion for guest relations, which of course includes our front desk, and are bubbling over with ideas on how we can do even better
- You are very experienced in procurement and purchasing
- You have knowledge of German laws and health & safety standards
- You are fluent in both English and German, C1 level or above
- You bring technical affinity to learning tools such as Jira, Confluence and Miro
- You are willing and open to learn agile planning methodologies
