ABOUT THE OPPORTUNITY

The Business Associate will provide project and department-level administrative support helping to ensure cohesive and effective operations across a growing portfolio of technology and human rights programs. Under the supervision of the Business Manager, the Business Associate will play a key support role in the Department’s Business Operations Unit, by supporting financial management and reporting, expense entry, and administrative tracking. In addition to department-level tasks and ad hoc project support, this role will be the main point of contact for a variety of USDOS and private-funded projects.

LOGISTICS

Internews has US offices in Arcata, CA and Washington, DC which support a hybrid workforce with staff working remotely, fully in-office or partially remote. Ultimately this office may work remotely from the US, partially remote from one of our office locations, or fully in-office for candidates based in the DC or Arcata, CA areas.

DAY-TO-DAY TASKS will include:

Programmatic Administration and Compliance

  • Assist the Business Manager and programmatic teams to manage operating budgets for multiple programs, including reviewing and reconciling monthly expenses, updating spending projections, coordinating budget meetings with project leads, and correcting/updating the budget structure and formulas as needed. Relevant programmatic budgets will generally be $500,000 – $4,000,000 in size;
  • With support from the Business Manager, provide support to project leads in order to update operating budgets and make recommendations regarding spending and project planning based on implementation needs/changes and monitor direct cost line shift in program budgets;
  • Communicate regularly with headquarters’ business administration teams (Finance and Accounting, Audit, Human Resources, etc.) to ensure project-level financial management and reporting complies with Internews policy and funder regulations, specifically US Government regulations;
  • Support Business Manager and programs team with the coordination of the administrative start up and close out of projects;
  • Assist Business Manager with the development/management of budgets for European funders and alliance operations administration;
  • Provide surge capacity and coverage for project teams as needed for administrative tasks;
  • Support coordination of new staff onboarding and training.

Financial Administration

  • Assist in the review and reconciliation of budget activity on a monthly basis, ensuring monthly transactions are reasonable and appropriate, and project spending complies with funder requirements and Internews’ policies and procedures;
  • Process payments and expense recodes in coordination with Internews’ Accounting department, ensuring proper coding in accordance with funder requirements and internal policies and procedures;
  • Support payments to suppliers, consultants, and grantees in coordination with the Senior Grants Associate;
  • Provide surge support for processing payments, reviewing financial reports, and creating agreements for HQ and small project-administered subgrants;
  • Prepare documentation for advance requests, expense reimbursements, stipend requests, asset acquisition and disposal, and other financial processes as needed;
  • Support quarterly financial reporting in coordination with Internews’ Financial Reporting team;
  • Prepare expense recode requests.

 

Department-Level Support

  • Support the design, implementation, and maintenance of department-wide tools and processes for tasks such as budget tracking, contract management, and document storage;
  • Assist Business Manager with financial forecasting at the project and department level;
  • With Business Manager support, draft budgets and budget narratives during proposal development processes;
  • Assist the preparation of budget modifications according to funder requirements;
  • Provide ad hoc financial and administrative support to management as requested;
  • Reconcile monthly statements for the department credit card;
  • Other duties as assigned;

QUALIFICATIONS WE’RE LOOKING FOR:

Required

  • Prior professional experience, preferably in a nonprofit setting
  • Bachelor’s Degree or equivalent experience required in accounting, finance, or related field
  • Demonstrated ability to explain complex concepts to those who are unfamiliar with them
  • Experience preparing and/or tracking expense reports and budgets
  • Strong organizational skills and attention to detail
  • Proven analytical ability
  • Proven ability to multi-task and prioritize a shifting workload
  • Proven ability to operate effectively in a multicultural environment
  • Professional-level fluency in English

Preferred

  • Working knowledge of U.S. Government regulations and compliance issues
  • Knowledge of finance and accounting best practices, procedures and administrative practices, including Generally Accepted Accounting Principles (GAAP)
  • Proficiency in languages others than English
