Position Summary
As Programs Coordinator, this person will be responsible for supporting the needs of multisport development and creating value-added programming for Team USA, the group of age-group athletes that qualify to represent the United States and compete in the ITU World Championships. Managing Team USA includes creation and management of program budgets, organizing rosters, and working with athletes. The Program Coordinator will also serve as a World Triathlon (WT) liaison, and work with our assigned travel agency and USA Triathlon staff around each world championship location. This person will work across departments to fulfill the duties of this role.
The Program Coordinator will be responsible for all aspects of registration set up and implementation of our registration platform for events. Additionally, this position will oversee and manage onsite registration and packet pick up for all USA Triathlon owned events which includes process, staffing, and procedures.
Additionally, the Program Coordinator will oversee the implementation of the NCAA program on a day-to-day basis, the community and volunteer program, the collegiate club and high school programs and recognition programs across the organization including All-American, Athlete of the Year, Multisport Awards.
General Duties and Responsibilities
Team USA
- Manage Team USA World Championship teams for Short and Long Course Triathlon, Super Sprint Time Trial, Mixed Relay, Aquathlon, Standard and Long Distance Aquabike, Long, Short and Standard Duathlon, Off-Road and Winter Triathlon which includes qualification emails, apparel, transportation, additional event details, and more
- Manage on-site processing of athletes at all world championship qualification events
- Work closely with marketing team on selection and design of apparel and distribution process
- Submit all events into sanctioning system and complete world rankings results for membership
- Organize Team USA qualification sign-ups and follow-up communications from National Championship events
- Work with travel partners on Team USA travel packages
- Communicate daily with Team USA athletes through Facebook posts, calls, emails, website updates and monthly newsletters
- Work with the USAT Service team on their needs for responding to defined levels of inquiries
- Build all World Championship registration sites on the USAT registration platform for deposits and race fees
- Run Medex Insurance reports and distribute cards to Team USA athletes
- Coordinate selection and travel details for Team USA support staff (Mechanics, Massage Therapists, Doctors, Chiropractors, and Coaches) with travel contractor
- Manage Team USA while on site at the world championships
- Other duties as assigned
Events
- Build and manage the registration platform for USA Triathlon
- Travel to owned USA Triathlon events to oversee and manage onsite registration and packet pick up including process, staffing, and procedures
- Manage bib lists, seeding of athletes, qualification emails in conjunction with Marketing and Communications, updating participant lists online, swim cap breakdowns, and post-race reporting and reconciliation for all owned events, totaling at least 4 events per year
Recognition Programs
- All-American program management
- Elevate the program through providing more intangible offerings in place of additional item purchases
- Work closely with USA Triathlon merchandiser to create a more robust merchandise offering for athletes
- Develop stronger messaging throughout the year of what the program is and how athletes can earn that high distinction.
- Manage the Athlete of the Year Program with the Age Group and Multisport Committees
- Manage the Multisport Awards Program with the Age Group Committee
NCAA
- Work directly with Chief of Sport Development on NCAA Women’s programming including:
- Serve as the key contact for all program coaches and administrators
- Maintain a working relationship with the NCAA and be the key lead for all retention efforts that do not have a direct relationship to institution recruitment (i.e. combines)
- Lead bid process for qualifying events for National Championship
- Work closely with USAT Events team on draft-legal items including being part of Race Director calls and working with Officials team on rules and other related items
- Act as event liaison for selected events, including National Championship
- Travel to and/or coordinate staff travel to NCAA events
- Work with marketing team or as directed on procurement of materials for events
- Manage all new coaching onboarding
- Update website on a regular basis
- Present at various meetings, conferences, and sessions as needed
Additional Duties
- Lead and manage the community and volunteer program
- Lead Collegiate Club and High School, including liaising with the collegiate committee and coordinating programming needs tied to events
- Other duties as assigned
Requirements
- Preferred: Bachelor’s degree in business or sport management and 2-4 years related work experience
- 3-5 years of Project/Program Management experience.
- Technical Skills: Proficiency with Microsoft Office and other software/digital functionality such as database management, and social media.
- Personable with excellent verbal and written communication skills, with the ability to speak and present in front of both small and large groups
- Willingness to travel regularly and work additional hours as necessary, including nights and weekends.
- Ability to work in a fast-paced, high-pressure environment as part of a team atmosphere, including effective coordination with members of other departments.
- Experience within, or knowledge of, the multisport or endurance industries is beneficial but not required.
This position will require non-traditional work hours including evenings, weekends, and some holidays. Additionally, this position is located in Colorado Springs.

Additional Job Information:
Hiring Pay Range: $33k-$38k
